Law Firm Onboarding & Integration Manager

POSITION REQUIREMENTS.
This position leads all aspects of onboarding and integrating staff hires and new attorneys, including lateral groups or larger law firms. This position works closely with Recruiting, Conflicts, Human Resources, Accounting, Billing, Legal Support, Business Development, Operations, and IT teams to ensure a smooth and seamless integration experience.
This position may be expected to build the Integration team as the firm grows and onboarding needs increase.
Responsible for establishing best practices for onboarding.
Responsible for developing and executing implementation and retention plans and determining appropriate sponsor and key contacts for each staff member, lateral or group.
Responsible for tracking progress, reporting results and documenting lessons learned from each successive integration.
Responsible for coordinating onboarding tasks across multiple departments.
ESSENTIAL FUNCTIONS/RESPONSIBILITIES.
Designs and implement the onboarding process into current systems and workflow.
Planning & Design
Participate in leadership discussions about growth strategy. Develop an integration strategy, plan integration activities, deploy plans, conduct regular integration team meetings, track progress and report results. Give recommendations to improve flow of information and workstreams cross-departmentally. Coordinate ad-hoc meetings as needed with team members to resolve complex scenarios. Maintain current MS Teams onboarding channels and other onboarding & integrations communication streams.
Recruiting
Participate in recruiting meetings. Track and report on incoming attorney pipeline to multiple departments, including information on high volume books of business and special requests. Advise Recruiting on start dates for laterals & groups. Interface with attorney candidates in the latter stages of the recruiting process.
Intake & Conflicts
Ensure Conflicts department receives required information to run conflicts, approve OCG’s and open lateral client files. Coordinate training on intake process.
Human Resources
Coordinate collection of new hire documentation. Schedule trainings. Ensure delivery and acceptance of benefits materials and firm policies. Collaborate on onboarding process of attorney funded staff, as needed.
Information Technology
Deliver information on special software or subscription requests and track the vetting and procurement of the same. Confirm delivery of laptop and peripherals. Ensure tech stack is optimal for incoming practice groups. Ensure electronic file transfers are in place. Coordinate IT training.
Billing
Coordinate collection & delivery of information about timekeeper rates, new client and matter information, AFA’s, e-billing, invoicing and other billing setups. Coordinate training on process and tools. Collaborate with Billing Manager on proper Billing coordinator assignment.
Accounting and Reporting
Ensure internal rates and payroll information are shared. Coordinate training on ARA system & NSH policy. Collaborate on bridge loan payback schedules and other financial solutions as needed.
Legal Support Team
Coordinate introductions to support team, including paralegals and administrative staff, and understanding of available services. Collaborate on software solutions, docketing transfers and other items as needed. Coordinate flow of information for attorney funded staff, as needed. Coordinate iManage training.
Business Development
Work with Business Development to determine Business Development needs and coordinate resources. Ensure photos and bios are updated on website and materials. Ensure press release and internal announcements are written and published. Assist with the determination of cross-marketing opportunities.
Operations
Collaborate on physical office solution & execution, as needed. Coordinate virtual office setup, letterhead and business card creation, and physical file transfers. Coordinate new hire gift shipments.
Customer Service
Meet with attorney candidates regularly from the latter stages of the recruiting process, throughout their first 60 days. Address concerns and special requests as needed. Introduce new attorneys to key contacts throughout law firms. Serve as a conduit of information between attorneys and back-office departments. Arrange meetings and trainings across departments.
M&A
Coordinate due diligence process between new group, Alpine, and other 3rd parties as needed. Advise, track and report on timelines, deliverables, etc., to all stakeholders. Plan and execute onsite onboarding as needed.
QUALIFICATIONS.
Authorized to work in the United States
Bachelor's degree or significant experience in this same role
Minimum of 7 years of experience in a similar role within a law firm
Proven experience in managing onboarding processes, integrating new hires, and working with multiple departments (e.g., HR, IT, Billing, Legal Support)
Experience in handling complex onboarding scenarios, including lateral hires and mergers/acquisitions (M&A)
Demonstrated experience in leading and managing a team, including mentoring, coaching, and performance management

We anticipate the base salary to range from $90,000 - $120,000 and will depend on current market data and the candidate’s qualifications for the role, including education and experience. The compensation described above is subject to change and could be higher or lower than the range described based on several factors.
