About the role:
Boston Scientific’s Cardiology Group Administrative Assistant Team is looking for an engaging, experienced Administrative Assistant III to provide support for the Southeast & Midwest Area Sales Vice Presidents & their Area Teams. We are looking for a professional who works under limited supervision with general instructions given on new assignments, enjoys a fast-paced environment, and loves to collaborate across the team and organization.

Your responsibilities include:

  • Performs general administrative duties that include: calendar management, event coordination, ordering/maintaining supplies, arranging travel and expense reimbursement
  • Responsible for onboarding all new sales employees within their Area teams
  • Acts as an informed source of company policies and procedures by answering routine questions or routing to appropriate employees for answers
  • Answers complex functional questions that may require additional research and follow-up.
  • Viewed as key functional resource
  • Anticipates and coordinates projects/assignments, organizes own schedule and that of others to meet deadlines. May gather and prepare data in preparation of upcoming projects; identifies future needs to complete projects
  • Translates thoughts into documents (letters/memos/presentations, etc.) using existing material; ensures document is logical and complete as well as accurate in grammar and spelling; makes suggestions for improvements in existing communications; ensures written communications are processed through legal and regulatory channels when appropriate
  • Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner; provides guidance to peers as necessary regarding proprietary information
  • Responsible for confidential information which typically consists of company/division sensitive information (i.e. new product technology)
  • Liaison between Sales reps and leadership team


What we’re looking for in you:
Basic Qualifications:

  • 3+ years of administrative experience, providing support to senior level management in a fast-paced organization
  • Strong communication skills and interpersonal skills
  • Ability to multitask and self-prioritize requests coming from multiple people
  • Self-starter – ability to take on new less-defined tasks
  • Ability to work across multiple levels of the internal organization and with external parties
  • Advanced skills in Outlook, MS Teams, Excel & PowerPoint – Position requirements include managing schedules and communications (Outlook), organizing data files (Teams), creating presentations (PPT) and generating reports (Excel)

Preferred Qualifications:

  • Team event/meeting coordination
  • Healthcare industry work experience
  • Previous experience interactions with physicians/healthcare professionals (with regards to coordinating meetings/events)
