Job Description
The Assistant Registrar position assists with the management of the Office of Records and Registration, specifically in areas related to transferability of credits into St. Cloud State University. This position is expected to provide exceptional service to university constituents while positively administering and interpreting university regulations and policies related to students’ records and registration, admission, transfer, and enrollment. Due to the unique and complicated nature of each individual student’s academic record, this position requires a strong ability to navigate various systems, department requirements, and institutional standards.
Transfer Evaluation and Articulation
- Determine transferability of credits into the SCSU curriculum for individual academic program for new, current, and returning students.
- Advise students and university faculty/staff concerning credit transfer and program placement.
- Maintain transfer articulation component of the Degree Audit Reporting System [DARS] and oversee administration of the course applicability system [Transferology & TES].
- Manage the transfer review process and online application.
- Perform exception processing and monitor prerequisite checking processing.
- Develop processes and procedures for continuous improvement related to the Degree Audit Reporting System.
- Participate in regular registration and advising activities, to provide guidance and support for internal partners as a face and representative of the Records office on campus.
Student Record Management
- Assist with the management of DARS, which involves articulating and encoding transfer rules in collaboration with personnel from the Advising Centers, Academic Departments, and Academic Affairs to ensure accurate application within student record.
- Maintain knowledge of the University’s u.achieve suite (DARS, Transferology, Self-Service, TES) such that the software is an accurate reflection of the current academic program curriculum, approved academic program offerings, and up-to-date transfer evaluation and articulation rules.
- Provide training to university personnel and students as needed.
University Policy Expert
- Administer, direct, and interpret university policies and regulations related to student records and registration, transfer admission, and enrollment.
- Collaborate with other student service-related offices as they connect to activities and functions of the Office of Records and Registration.
- Keep abreast of new developments in student information system functionality and applicable technologies.

Required Qualifications
- Bachelor’s Degree
- Minimum 2 years’ professional experience in leading higher education student services, student records, Admission, Advising, or other related administrative experience.
- Proficient knowledge of higher education compliance and regulatory standards.
- Strong communication, customer service, and organizational skills.
- Evidence of demonstrated ability to work with persons from culturally diverse backgrounds

- Excellent utilization and knowledge of student information systems.
- Outstanding problem-solving and organizational skills with strong attention to detail.
- Demonstrated ability to execute details and complex projects with minimal supervision.
- Excellent verbal and written communication skills.
- Demonstrated ability to collaborate with university personnel concerning policies and student concerns.
- Strong knowledge of data privacy laws.
- Demonstrated ability to interact with multiple and diverse groups of people.
- Proficient with standard word processing, spreadsheet, and data base application software.
- Demonstrated ability to develop creative strategies and action plans to achieve results.
- Strong work ethic and change management skills.
