Assistant, Transformation

Summary of Position
This role will handle day-to-day administrative duties for the EVP, Transformation and Transformation team in the Motion Picture Group. In addition to general administrative work, the Assistant will support calendar management, meeting coordination, travel arrangements, data entry, and division-wide communications and engagement.

This role will work alongside a growing team of critical thinkers, strategists, innovators, and people engineers who are solving some of the studio’s biggest challenges. The ideal candidate for this role is driven, organized, professional, and has an interested in growing their career in entertainment or transformation.
Responsibilities
Executive Support
  • Manage and maintain EVP’s calendar using Outlook; assist in meeting & presentation preparation, reservation scheduling, and attend and take notes as applicable.
  • Prepare departmental invoices, including coding, scanning, and reconciling with SAP
  • Create and maintain databases and key spreadsheets, including new hire lists, anniversary dates, key dates, contacts, etc.
  • Arrange domestic and international travel as needed and prepare all business-related expenses using CONCUR and the Enterprise Spend Platform; make sure all expenses are completed and submitted in a timely manner.
  • Maintain confidentiality and discretion for all conversations, meetings, and documents
  • Screen incoming calls and correspondence and respond independently when appropriate
  • Work with the Facilities and IT to maintain MPG office seating charts and expedite technology requests as needed

Transformation Team Support
  • Support Transformation team with conference room setup, scheduling/ coordination of meetings, and meeting recaps as needed.
  • Data entry into excel and Monday.com for transformation projects
  • Document operational best practices to distribute across the MPG
  • Conduct company specific and industry wide research, as needed

Divisional Communications & Engagement
  • Coordination of division events including creating and managing invitation lists and responses, event logistics and catering (Coffee & Questions, Town Halls, team-building activities, etc)
  • Coordination and distribution support of division-wide emails and other communications including MPG’s The Close-up newsletter, MS Teams posts, and updates on the intranet site.
  • Communication metrics tracking and report compilation (ex. Views, clicks, comments, likes, shares, sentiment, employee response, etc.)
  • Member of the MPG Communications Board to gather insights, plan, and execute against communication and engagement activities for the MPG
  • Partner with HR to ensure successful Onboarding for new MPG employees
Qualifications and Skills
  • Bachelor’s degree or relevant administrative experience
  • Knowledgeable in all Microsoft Office applications including, Word, Excel, PowerPoint
  • Excellent written and verbal communication skills
  • Excellent organization, time, project management, calendar management, coordination skills, and attention to detail
  • Ability to maintain a high level of confidentiality – a must
  • Must be highly motivated with the ability to handle multiple tasks in a fast-paced environment
  • Ability to analyze data
Nice to Haves
  • 1-2 years of experience
  • Proactively anticipates needs
  • Graphic design background
  • Overall working knowledge with the SAP and Concur system
  • Familiarity with the Bananatag, SharePoint, MS Teams, video editing, visual design, etc – all a plus!
  • Prior experience with collaborative workflow platforms or databases (Monday, Airtable, Asana, MS Teams, M365, Google Suite/Drive, etc.)
