Associate Director, Congress & Meeting Management

The Associate Director, Congress and Meeting Management will lead the Congress and Clinical Meetings functions for Eisai across both Oncology & Neurology organizations. This person will lead a team of 3 people to develop a high functioning service team with a focus on operational discipline and customer experience, supported by defined metrics and collaborative relationships to ensure exceptional service.

Essential Functions
o Develop strategic vision and related operations, governance and processes to deliver services and support in planning, management and execution of the conventions and meetings strategy across Neurology and Oncology therapeutic areas for both pipeline and inline products. Responsibilities include all aspects associated with organizing, planning and post event wrap-up
o Assume a leadership role in the development and maintenance of strategic relationships with suppliers, internal and external stakeholders and various constituents, cross-organizationally. This position will lead the US Meetings and Congress Management Program and Global Clinical Meetings for both US and EMEA
o Oversee the development of Eisai meetings and congress best practices and policies, including alignment, to regulatory requirements and transparency reporting. Establish and elevate Business Partnership roles aligned to the client base encompassing commercial and clinical/medical activities, providing leadership to ensure properly defined services, operational controls, defining and managing to performance metrics while ensuring superior service.
o Assume a supporting role to the Super Congress Captain for US Based- Congresses. Ensuring continuity across all Eisai Super Congress elements and all Eisai Business Partnership Roles assigned to the Super Congress (Global Commercial Lead(s), Host Region Medical, R&D Lead, Global Medical)
o Lead development of annual program planning and assisting clients to align with financial allocations. Accountable for Supplier Relationship Management, managing supplier performance through robust KPI and SLAs conducting business reviews for continual performance and innovation. Lead the development and delivery of training and communication programs for Eisai Associates and Suppliers to ensure operational compliance with Eisai policies.
o Partner closely with Event Data Management to ensure data collection and data integrity, and resolution issues, creating/maintaining SOPs, ongoing communications, stakeholder management, understanding compliance changes and translating into business processes, etc.
o Proactively partner with business to collaborate and develop process and standards in operating compliant meeting and Congresses in accordance with Eisai Policies and Procedures driven by regulatory, state and federal requirements through business partnerships with Ethics & Compliance, Procurement, and Legal. Partner to develop business requirements and strategy for the selection and certification of preferred meetings and congress management suppliers.
o Assume a supporting role to the Executive Director Commercial Planning & Operations for commercial sales / launch meetings. Assisting with the planning and logistical responsibilities: core team, onsite support, planning process.
o Ensure compliance of all designed solutions to all relevant/external requirements (e.g. FDA, PharmaCode, CIA, Open Payments, Eisai GDPR framework) Collaborate with Procurement defining savings opportunities.
o Foster an environment where service level expectations are defined and objectives are consistently measured against achievements; proactively identify opportunities and initiate process improvements for optimal quality, cost, speed, innovation, efficiency and effectiveness across the commercial function.
o Comply with all company policies and standards.
Requirements
o Bachelor’s degree required
o 8+ years’ relevant experience
o 5+ year experience planning and facilitating meetings
o Demonstrated ability to manage multiple vendor and consultant relationships along with monitoring and managing their effectiveness and quality.
o Experience creating and maintaining SOPs
o Project management experience
o Experience working effectively in a culturally diverse matrix environment; strong ability to influence
o Demonstrated success building effective relationships with variety of stakeholders
o Strong interpersonal and communication skills including ability to write communications/reports to build commitment, share information, gather input, and accomplish tasks
o Strong organizational, time management, detail orientation, and prioritizing skills
o Demonstrated ability to work in a fast- paced environment while managing multiple priorities.
o Learning agility: ability to quickly learn new therapy areas and commercial models.
o Travel up to 50% of the time.
