Audio-Visual Administrator

Summary of Position:

The Audio-Visual Administrator is responsible for providing vital support for meetings and events that utilize the AV technology including Cisco Teleconference systems, phones, cameras, projectors, and other technology installed in conference rooms. This position will work with a team using a ticketing system in collaboration with meeting and event planners, management, and leadership you will help to ensure the AV equipment is utilized properly and effectively as well as troubleshooting when issues arise.

Essential Functions:

  • Provide remote meeting and event technical support
  • Set up and take down A/V equipment for events and live performances
  • Utilize ticketing system to monitor support needs and track issues/work performed
  • Kick-off teleconferencing meetings and provide support for host and attendees
  • Troubleshoot teleconferencing issues remote and on-site
  • Start meeting recordings and validate recording status
  • Perform life cycle management of A/V equipment including upgrades and maintenance
  • Edit, finalize and share recorded meetings and events
  • Document and report hardware failures
  • Install software updates
  • Installation and de-installation of AV products
  • Attend meetings and training as required
  • Clean equipment and store properly
  • Follow all production, safety, and quality standards, codes, and industry best practices
  • Remove and replace damaged components

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee in this position frequently communicates with other co-workers/clients who have inquiries about the various projects and other needs. Must be able to exchange accurate information in these situations. The employee must be able to remain in a stationary position 75% of the time. The employee in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc. Constantly operate a computer and office machinery such as a calculator, keyboard, copy machine, and printer. Frequently moves boxes with equipment weighing up to 25lbs across the building and/or to other offsite buildings for various project needs.

Required Education and Experience:

  • High School Diploma or equivalent
  • 1-3 years of experience

Qualifications:

  • Previous Audio-Visual support experience
  • Experience scheduling & hosting meetings/events with Cisco WebEx, Microsoft Teams, and/or other telecommunications Systems
  • Experience with basic video editing and sharing
  • Familiarity with managing a ticket queue and working in ticket-based systems such as Service Now.
  • Excellent written and verbal communication skills
  • Exceptional customer service skills
  • Must be able to sit and stand for long periods
  • Ability to document processes and procedures
  • Ability to work varied and changing schedule (nights, weekends, early mornings included)
  • Skilled in basic Break/fix solutions
