The Role

Absence Management Specialists efficiently and compassionately manage employees' absences while ensuring compliance with all relevant laws, regulations, and company policies. We strive to provide exceptional support to union and non-union employees and supervisors, guiding them through the leave process and maintaining accurate records. With a focus on integrity and accuracy, we are dedicated to promoting a positive and productive work environment by effectively managing all aspects of absence management, including FMLA, Worker’s Compensation, ADA accommodations, and other leave programs. Through our expertise and commitment, we aim to enhance our workforce's well-being and contribute to our organization's overall success.

Responsibilities

  • Respond to employee requests for FMLA leave and general questions regarding leave.
  • Facilitate a positive experience in the field while responding to employee requests for FMLA, Sick Leave Applications, Supplemental Accident & Sickness Benefits (A&S), and other applicable absences
  • Review daily absences and log the wants in the Kronos Leave Module of those employees calling in for FMLA during the pending process.
  • Daily reviews absences in Q-Quest Absence Tracking System and log the appropriate FMLA cases in the Kronos Leave Module and Attendance Editor during the FMLA pending process
  • Enter requests for leave in the module and generate appropriate paperwork.
  • Monitor appropriate FMLA usage to ensure that no more than 12 weeks of entitlement is used.
  • Communicate all Leaves related to all appropriate leaves with Team Members and Supervisors.
  • Make Inter-department referrals as required.
  • Daily review of the status of all pending leaves to determine the timeliness of required pending information.
  • Assist in locating qualified physicians and setting up additional medical reviews to clarify requests.
  • Follow up with physicians on medical reviews.
  • Review medical judgments and respond to employees’ requests for leave within the required timeframe.
  • Assist in calling employees to discuss the details of their leave when deemed necessary.
  • Manage distribution of daily leave documents.
  • Run reports from the leave module to clarify identified conditions.
  • Consults with internal personnel regarding daily FMLA situations and advises or recommend options as needed.
  • Work collectively with facility Managers/Supervisors to address unusual trends in leave cases or concerns regarding individual cases.
  • Assist in managing all aspects of the collectively bargained Sick Leave benefit.
  • Coordinate the application of Metro’s No-Fault Attendance Policy related to the unionized workforce.
  • Ensures the proper recording of points in the Kronos Module and Attendance when dealing with FMLA decisions.
  • Assist in managing the Accident and Sickness program.
  • Performs other related duties as assigned.

Knowledge, Skills, & Abilities

Comprehensive knowledge of FMLA and related laws and regulations and experience in Absence Management.   Ability to interact effectively with BSDA/Metro management officials, supervisors, and employees. Ability to communicate effectively, both orally and in writing.  Ability to work independently under pressure.  Ability to classify and enter data accurately.  Ability to format and analyze data and develop policy & procedure changes as a result.  Kronos and union workforce experience is a plus. 

Education

Experience

Degree: A.A.S. degree or equivalent experience required

Years: 1-3 years

Field: General Studies; human Resources/benefits or Business Administration.

Field: Human Resources/benefits, HR Generalist/labor relations/FMLA absence Management Specialist
