Branch Receptionist (RE)

Position Summary:

The Receptionist is responsible for incoming calls, guests, mail, packages and other administrative activities at the main entrance. The Receptionist handles various administrative support functions and assists various departments and managers.

Essential Job Functions:

Specific tasks will include, but are not limited to, the following:

  • Greet and assist guests entering the branch office.
  • Keep Office neat, orderly and presentable for visitors.
  • Create correspondence, forms, reports, memos, and other documents using Excel, Outlook, and Power Point.
  • Answer incoming telephone calls from a multi-line PBX system and direct telephone calls to the appropriate individual and take messages as necessary.
  • Manage vender relationships connected to the reception area (Fedex, USmail, office supply company, etc.).
  • Track all incoming packages and mail and distributes them to the appropriate individuals/departments
  • Process outgoing mail and packages.
  • Oversee the booking of the conference rooms.
  • Assist managers with research and/or special projects as needed.
  • Maintain phone directory.
  • Perform inventory of all office supplies on a weekly basis and restock as necessary.
  • Stock office items throughout the corporate office daily.

Required Job Functions:

Specific tasks will include, but are not limited to, the following:

  • Assist office personnel with administrative functions such as faxing, scanning, processing mail, emailing, and ordering supplies
  • Assist with ordering food and coordinating meetings and company events.
  • Assist with charity events.
  • May proofread reports, lists, and other information for accuracy
  • Order lunches, snacks and fruit as necessary.
  • This position may require occasional overtime and travel.
  • Effectively communicate, work with, and build relationships with all levels of constituents including culturally and linguistically diverse staff members and external candidates and/or vendors, while operating in a fast-paced customer service driven environment.
  • Additional tasks as assigned.
