Business Development Assistant

The Business Development Assistant reports directly to the Chief Executive Officer (CEO).

This role is responsible for supporting the Executive Leader (Executive) with lead generation, appointment setting, follow-up and monitoring of all matters related to business development support, for prospects and clients. The role is both project-oriented and administrative in nature, supporting the Executive’s priorities in planning, directing and coordination of key projects to ensure sales goals are on-target and objectives accomplished. This individual will ensure prospect priorities are appropriately and timely handled and provide essential support services as requested by the Executive as needed.
Duties and Responsibilities aligned with Ryan Key Results
People
  • Provides administrative support to the Executive including planning, expense reporting, scheduling, research, etc.
  • Schedules meetings for the Executive with prospective clients
  • Answers escalated telephone calls, addressing concerns, and escalating as needed
  • Manages, prioritizes, and coordinates all client and internal meeting requests which could include organizing travel arrangements (domestic and international).
  • Handles and safeguards confidential information and sensitive material
Client
  • Makes outgoing customer calls or cold calls as directed by the Executive to arrange or schedule meetings
  • Forwards Ryan collateral and other marketing materials
  • Contacts customers in response to correspondence or feedback
  • Maintains calendar appointments and deadlines to ensure proper accountability and client deadlines are observed
Value
  • Advises the Executive of all sales activity through sales reporting
  • Proficiency in calendaring, tracking call activity and having foresight in moving appointments when necessary due to unexpected delays or issues
  • Accurately and efficiently enters customer information into Salesforce to track sales activity including past and future meetings, company data, key contacts, call history, demographics, active and past engagements, for billing purposes
  • Maintains a list of potential leads in the sales funnel along with appropriate follow-up schedule
  • Knowledgeable of Ryan’s products and services
  • Analyzes sales data for regular and ad hoc reporting and forecasting purposes
  • Understands the functionality and purpose of CRM Tools such as Salesforce and able to navigate, attach documents, run reports, and maintain client records throughout the tool
  • Organize and prioritize multiple projects, at times under time constraints
  • Acts with a sense of urgency while maintaining professional demeanor
  • Assists with other projects as needed.
Education and Experience:
  • 5+ years administrative support role to an Executive or sales team
  • BS or BA Degree preferred or equivalent work experience
  • Exceptional organizational and interpersonal skills and must excel in a fast-paced environment
  • Must be quick, proactive, and responsive with proven critical-thinking and problem-solving skills
  • Ability to drive items to conclusion on time and with minimal direction
Computer Skills:
To perform this job successfully, an individual ideally must have intermediate to advance skills using Microsoft® Suite (Microsoft® Word, Excel, Outlook), conducting research using Internet navigation tools and CRM software such as Salesforce. PowerBI, Concur and Workday experience a plus.

Supervisory Responsibilities:
This position requires no supervisory responsibilities.
Work Environment:
  • Standard indoor working environment
  • Occasional long periods of sitting while working at computer
  • Position requires regular interaction with employees at all levels of the Firm and interfaces with external vendors as necessary
