Position Summary

This role will support both the Immigration and the Labor and Employment litigation practice groups.

Our Atlanta office has an opportunity for an Office Services Assistant to join their fast-paced team! The Office Services Assistant supports the delivery of quality legal services to clients by providing clerical assistance to attorneys, paralegals, and secretaries and by working collaboratively and cooperatively with others in a team-oriented environment. On a day-to-day basis, the Office Services Assistant generally works under the direction of the office administrator, administrative coordinator, paralegals, and secretaries from whom they are receiving assignments, but may also receive assignments directly from attorneys, in addition to performing regularly assigned tasks.

Essential Functions

  • Kitchen Maintenance: Load, unload, and start the dishwasher as needed. Ensure that tables, counter areas, and kitchen equipment are tidy and wiped down at end of each day. Clean and perform maintenance on coffee and soda machines as recommended by the supplier. Restock supplies and refreshments as needed throughout the day.
  • Copiers: Clean glass and check copiers for adequate paper supply at the end of each day. Coordinate copier repairs with the service provider as needed.
  • Office Supplies: Maintain supply room and kitchen to ensure supplies are well stocked at all times. Take inventory and inform Administrative Coordinator of supplies to order. Stock supplies when received.
  • Mail: Ensure all mail has been metered and taken to the mail room for pick up at the end of each day.
  • Firm Functions: Assist office administrator and attorneys with planning, set-up, and various other responsibilities related to firm functions held within the local office and offsite locations. May require duties before/after normal business hours and limited travel.
  • Conference Rooms: maintain conference rooms to ensure they are ready at all times for scheduled events, including beverage set-ups.
  • Copy Jobs: Assist Administrative Coordinator with copy requests.
  • Other Duties: Light typing, assisting with mailings, and other miscellaneous projects as needed.

Requirements

  • 1+ years of previous experience in an Administrative or Office Assistant role.
  • Excellent interpersonal and customer service skills.
  • Good organizational skills including filing and calendaring.
  • Excellent communication skills, written and verbal.

  • Pleasant and clear understandable phone voice.
  • Ability to sit at a desk for one or more hours at a time.
  • Ability to lift and carry up to 50 pounds.
  • Good typing speed with few errors.
  • Time management skills and ability to work independently as well as with a team.
  • Proficient with Outlook, Excel, Word, and PowerPoint.
