Catbird, a Brooklyn based DTC fine jewelry brand, is seeking a dedicated and experienced Facilities Coordinator to oversee the maintenance and operational needs of our retail locations. The ideal candidate will have experience in facility maintenance, with a strong attention to detail, and the ability to address maintenance issues promptly to ensure that our facilities are well-maintained, safe, efficient, and a conducive working environment for our staff. The Facilities Coordinator will contribute to ensuring Catbird is providing an optimal employee and customer experience. This position will report into the Retail Operations department.

Key Responsibilities Facilities Management:
- Develop and execute a proactive maintenance program for all retail locations.
- Coordinate and oversee repairs, renovations, and improvements as needed.
- Manage relationships with external contractors and vendors for maintenance and repair services.
- Ensure compliance with safety and environmental regulations.
- Catalog all equipment in stores and perform necessary upgrades and modifications
- Implement energy-efficient practices and technologies to reduce operational costs.
- Promote sustainability initiatives, including waste reduction and recycling programs.
- Assist to plan and execute store layout changes and expansions.
- Ensure compliance with zoning and building codes.
- Monitor and control costs, seek cost-effective solutions, and report on both capex and opex budget performance.
- Set up and manage a facilities task management tool that will help control costs and improve efficiencies
Vendor Management:
- Set up and manage all utility accounts for new stores (includes but not limited to electric, gas, water, trash, cleaning).
- Identify and evaluate third-party service providers and suppliers for specialized maintenance needs.
- Collaborate with external contractors and service providers for facility maintenance.
- Schedule and oversee maintenance tasks
- Negotiate contracts, establish service level agreements, and monitor vendor performance.
Safety and Compliance:
- Ensure the store premises are safe and secure for customers and staff.
- Maintain store location/safety guides so they are always up to date
- Ensure compliance with all relevant regulations and standards.
- Conduct facility safety inspections and address any potential hazards.
- Coordinate with local authorities and emergency services for drills
- Maintain accurate records and prepare reports for senior management as required.
General responsibilities
- As a leader of the retail team, support the retail leadership team in ensuring a strong and collaborative culture
- Partner with retail store leadership to create and maintain a store maintenance audit
- Partner with our corporate maintenance team to achieve shared efficiencies
- Partner with VP of Retail to organize and maintain new store opening partnerships and processes.
- Other maintenance, repair and operations tasks and project management as needed
- Records maintenance and administrative duties.
- Project planning and reporting.
- Maintain open lines of communication with staff, vendors, contractors, and facility users to ensure all are informed of important developments and changes.

- Strong knowledge of building systems, maintenance practices, and safety regulations.
- Knowledge of basic electrical, plumbing, and HVAC systems.
