With minimal supervision, independent judgment, and a strong commitment to the CDC Foundation mission, the Program Operations Manager for Infectious Disease (ID) Programs will serve as a generalist that oversees the provision of operational support for the department’s programs and projects. Under the guidance of department leadership, the Program Operations Manager is responsible for leading coordination, organization, support and planning of ID program operations consistent with department standard operating procedures. In addition, this position will work across the CDC Foundation and CDC to ensure the ID program operations functions adapt, grow, and surge to meet evolving needs of the organization, partners, the department, and the Program and Innovation Office (PIO) at CDC Foundation.
This is a hybrid position based in Atlanta, GA and relocation expenses are not provided.
Duties and Responsibilities- Provides strategic oversight of department-level program operations, including procurement, travel, meeting logistics, recruitment and hiring, staff onboarding and offboarding, and departmental data management.
- Supervise team of program assistant(s) and program services coordinator(s) responsible for execution of department operations and program services activities.
- Supports department staff to ensure adherence of program implementation to organizational and departmental standards, compliance with donor requirements and risk mitigation in business operations.
- Serves as a departmental-level resource and subject matter expert for departmental use of organizational systems and platforms including Salesforce, NetSuite, ADP, Concur, Smartsheet, SharePoint, Program Management Resource Library (PMRL), and others.
- Ensures standardized use of systems and accuracy of departmental data within them, to facilitate creation of dashboards, department budgeting, project monitoring, reporting, accountability and decision making within the department.
- Identifies areas for process improvement and works with others across the organization to plan for and implement new ways to support the efficiency and quality of overall program operations.
- Supports the development, communication, and implementation of department operations-related priorities, standards, guidelines, and best practices to ensure consistency across the department.
- Participates in the review, development, and/or implementation of organizational policies, standard operating procedures, and technology to achieve organizational goals and objectives, enable effective and efficient operations, drive growth and promote greater impact.
- Support and/or oversee the development and/or enhancement of systems, platforms and processes for effective sharing of program management and implementation documentation, tools, and resources across teams/departments.
- Serves temporarily as a back-up program officer only when there is a high-priority need and no other staff are available.
- Participates in and/or leads special projects and other duties as assigned.
Qualifications and Necessary Skills- Minimum of 10 years of business operations, project management or related progressive professional experience. Bachelor’s degree from an accredited college or university required with emphasis on business administration or business management required. Master’s degree in those focus areas preferred.
- Supervisory experience with emphasis on regularly educating, developing, coaching, counseling and directing supervisees required.
- Highly detail oriented, works well within a diverse team, able to manage across different levels of an organization, demonstrates a high degree of initiative and flexibility, communicates effectively in a positive and professional manner, able to prioritize activities when under tight deadlines and possesses analytical skills.
- Experience with enterprise resource planning (ERP) systems and software packages including NetSuite, Salesforce, ADP, Concur, SharePoint, and Smartsheet used to manage day-to-day business activities such as procurement, travel, and project management preferred.
- Excellent written and verbal communication skills with experience preparing, writing, and editing complex documents for internal leadership, donors, and other stakeholders/partners.
- Outstanding interpersonal and teamwork skills; collegial, energetic, and able to develop productive relationships with colleagues, donors, stakeholders, and partners.
- Sound judgment and maturity, as exemplified by consistent professionalism in dealing with individuals at all levels both internally and externally.
- Ability to handle confidential information in a discreet and professional manner.
