Clerical Assistant/Receptionist

We have an opportunity available for a part-time (no more than 30-hours per week) Receptionist/Clerical Assistant with semi-flexible hours in our Boca Raton, Florida office. You will be responsible for making an excellent "first impression" in greeting clients and visitors. Primary responsibilities include processing incoming/outgoing mail, inventory/ordering supplies, scheduling appointments and assisting with administrative tasks. This position requires strong attention to detail.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Clerical

  • Perform receptionist tasks including receiving clients and visitors, and scheduling use of conference rooms for meetings;
  • Perform typing and document formatting duties;
  • Assist with processing of vendor and sub-contractor invoices in eProcurement; and proposal efforts as needed;
  • Coordinate/schedule meetings and order catering for meetings;
  • Photocopy, assemble, and bind technical and non-technical documentation;
  • Provide meeting support such as coordinating with IT for technology use and setting up food/beverage service; and
  • Perform other clerical functions, as required.

Inventory

  • Maintain inventory of office, printer, photocopier and kitchen supplies;
  • Maintain reproduction equipment and supplies, make appropriate service calls, and ensure all branch copiers are supplied daily; and
  • Maintain neat and orderly reception area, mail room, supply closets, conference room, lunchroom; clean-up following office client visits and meetings to include washing coffee pots and dishes at close of business day.

Mail

  • Prepare and distribute Federal Express packages and other courier and freight services;
  • Collect and distribute daily mail and deliveries;
  • Coordinate/prepare incoming and outgoing mail and FedEx; and
  • Maintain postal meters.

EDUCATION, QUALIFICATIONS, AND EXPERIENCE

  • High School diploma or General Education Degree (GED) is required; and 1 year of administrative/office experience to include effective working knowledge and skills with office procedures, terminology, and office equipment and computers in a Windows environment is preferred; with specific knowledge of MS Word, Excel, and Teams as well as Adobe or equivalent combination of education, experience and training that provides the required knowledge, skills, and abilities to perform the responsibilities of the position.   • Demonstrated organizational and multi-tasking skills. (required)
  • Minimum typing speed of 35 wpm and familiarity with a 10-key data entry. (required)
  • Ability to interact effectively in a team environment. (required)
