Supports the Plant Shift Superintendent, Operations, Maintenance, and Lab for vacancy filling, pay, meals, hourly scheduling, and Emergency Response and Communications.
Supports multiple departments in operations with administrative duties that include word processing, spreadsheet development, database entries, scheduling meeting/conference rooms, CAER line notifications, etc.…
- Prepare verify and distribute refinery operations reports throughout refinery
- Maintain monthly spreadsheet for h2 to fuel kpi. Distribute daily and monthly report
- Responsible for accurate exception reporting in cats for all hourly operators in accordance with the contractual language
- Responsible for completing and maintaining the appropriate forms/paperwork for operator schedule changes and pay rate changes
- Responsible for timely reporting of operator vacancies (sickness, funeral, etc. ) and ensuring vacancies are filled as needed
- Responsible for the preparation and completion of the annual operator vacation calendar
- Maintain overtime spreadsheet for operations. Track charges for every non operations activity; create and send monthly reports
- During nights and weekends call-out employees (per contract language) for unplanned maintenance work, prepare and distribute report for each
- Primary contact for maintenance employees off-hours: vacation and sickness. Responsible for confirming maintenance vacation cap allotments are not exceeded
- Develop and set work schedules for ccrb console operators and lop operators in accordance with contract language
- Fill shift vacancies for operational coverage and various committee needs
- Collect and distribute mail, order office supplies for day-to-day operations, answer phones
- Maintain office equipment to include: computers, printers, fax machines and copier
- Alternate facility accountability coordinator during emergencies
- Maintain community information lines on caer line for required messages to the community
- Maintain ccr building maintenance request forms
- Maintain locker lists issuing lockers in the mens and womens change house and ccrb locker room
- Primary contact for all overtime meals plant wide
- Maintain field coordinator spreadsheet daily for emergency response purposes
- Answer 713-321-5374 and direct callers to right resource as required 24/7
- Develops and issues overtime reports to assist organization in monitoring and managing overtime cost
- Develops desk procedures to document administrative processes
- High school diploma or GED
- Able to work rotating 12 hour shift schedule working both 12 hour days and 12 hour night shifts without leaving the facility. The shift work includes weekends, holidays, and all other days of the year.
- Excellent communications skills both verbal and written, in both normal and emergency conditions.
- Capable of analyzing and resolving vacancy conflicts within the contract and proactively assigning breakers to known vacancies.
- Strong computer skills. Excel is used a high percentage of the work day including executing macros, data entry, and data validation.
- Able to manage difficult people issues using a calm business style.
- Work effectively, efficiently, and consistently with all levels of the organization.
- Adapts to procedure and process changes due to letter of agreements and contract changes.
- Position must maintain a high level of confidentiality in all work practices.
- Professional level of communication, appearance, and performance required at all times.
- Attention to detail is a critical aspect of the role. 1000s of small tasks must be executed in a week, and each must be executed correctly.
