This position is responsible for synchronizing and managing the various operational aspects the Impact Alamance Conference Center and programs to support successful operations of the center and completion of foundation projects. This role supports the Office Administrator and Vice President(s) by overseeing the operations of the center and serves as the main point of contact for the facility. The position also supports foundation programs and projects by administering, collecting, managing and distributing information, organizing meetings and events, and updating project schedules. This role also supports effective operations of the conference center and the foundation's building by serving as the main point of contact for maintenance.

Responsibilities:

  • Project Management: Demonstrates good working knowledge of all vital aspects of the Impact Alamance Conference center and program-related projects. Gathers, organizes all project information including schedules, data requests, assignments, tasks and project meetings. Monitors progress and provides regular updates to office administrator, vice president(s), president and other key stakeholders. Initiates follow-up to facilitate timely project completions. Identifies potential breakdowns and initiates resolution or escalates situations as appropriate.
  • Conference Center Management-Manages all logistics for the Impact Alamance conference facility, including, but not limited to, serving as the main point of contact for community partners; booking conference space; ordering and managing supplies for the facility in including catering kitchen, restroom and conference room supplies; speaker scheduling and communication, catering, program materials and resources.
  • Meeting and Event Planning and Management: Coordinates meetings and events for the Impact Alamance Team and community. Tracks participant responses and assures participation reminders. Prepares and distributes meeting agendas and minutes. Makes travel and other arrangements as required. Provides on-site support during events which may include, but is not limited to: room, AV and catering set up, material delivery and set-up, participant check-in, AV speaker and customer support throughout the events. Also includes clean-up of the facility post event and ensuring readiness for daily use.
  • Information Management: Develops, implements and manages a collaborative environment document control/information management system to organize and track conference center and program documents, communication, activities and progress.
  • Communication: Demonstrates exceptional customer service to internal and external customers, individually and as part of the Impact Alamance Team. Manages daily operational communication for the Impact Alamance Conference Center and those it serves in the community. Processes routine correspondence and notifies manager and Vice President(s) of priorities and urgent situations. Develops and publishes routine project status reports including standard reports for project visual management systems. Develops high-quality professional presentations for various audiences as requested.
  • Calendar Management: Maintains calendars for the conference center and Vice Presidents to assure efficiency and effectiveness.
  • Administrative Support: Provides exceptional service for all customers of the Impact Alamance Conference Center. Maintain efficient office operations to support effectiveness of the foundation?s programs. Serves as the main point of contact for building maintenance needs and requests. Coordinates with supervisor and Impact Alamance team to ensure repair requests are submitted and handled in a timely manner.

Qualifications:

EDUCATION:

Bachelors - Preferred
Associates - Required
Degree in Business Management. Business Administration, or Project Management preferred. See specific experience requirements based on degree status below.

EXPERIENCE:

3 years of experience - Required for Bachelor's Degree
5 years of experience - Required for Associate's Degree

LICENSURE/CERTIFICATION/REGISTRY/LISTING:

Driver's License | Valid Driver's License
