Senior Administrative Assistant

We are seeking a highly organized and detail-oriented Senior Administrative Assistant to join our client's team. The ideal candidate will provide comprehensive administrative support to up to three senior leaders, ensuring efficient operation of their offices. This role requires a proactive individual with exceptional multitasking abilities and a strong understanding of the financial industry.4 days onsiteKey Responsibilities:• Manage and maintain executives' schedules, including meetings, travel arrangements, and appointments. Ensure that the leaders are well-prepared for meetings with necessary documentation and briefing materials.• Handle incoming and outgoing communications, including phone calls, emails, and correspondence. Prioritize and respond to inquiries on behalf of the executives as needed.• Draft, proofread, and finalize reports, presentations, and other documents. Assist in the preparation of financial and operational reports.• Organize and coordinate meetings, conferences, and events. Prepare agendas, take minutes, and follow up on action items.• Assist in various projects and initiatives, providing administrative and logistical support. Track project timelines and deliverables.• Process expense reports, invoices, and other financial documents. Maintain records and ensure compliance with company policies.• Oversee office supplies and equipment, ensuring the workspace is efficient and well-maintained. Coordinate with facilities and IT for any office needs.• Handle sensitive information with the utmost discretion and maintain confidentiality at all times.Qualifications:• Bachelor's degree in Business Administration, Finance, or a related field preferred.• Minimum of 3-5 years of experience as an administrative assistant, preferably in the financial industry. Experience supporting senior executives is highly desirable.• Excellent organizational and time management skills.• Strong verbal and written communication abilities.• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).• Ability to work independently and as part of a team.• High level of professionalism and discretion.• Strong problem-solving skills and attention to detail.• Ability to handle multiple tasks and prioritize effectively.
