Position Summary

Position provides direct support for HR and payroll functions. Serves as liaison to Central HR for payroll processing and acts as the department’s primary contact for all faculty and fellow policies and procedures.

Job Description

Primary Duties & Responsibilities

  • Completes employee and non-employee onboarding cycle.
  • Responsible for final review of biweekly and monthly payroll to ensure all new hires and changes have been processed and fully approved by deadline.
  • Prepares new faculty and staff communications and coordinates all aspects of orientation with business office. Ensures all compliance requirements are fulfilled by applicable deadlines.
  • Collaborates with Credentialing Supervisor for all clinical positions to ensure timely credentialing.
  • Works with OSIS and Immigration Attorney on visa and permanent residency applications ensuring timely completion.
  • Advises and assists departmental administrators on payroll issues.
  • Reviews documentation for accuracy and thoroughness and questions odd or incongruent information.
  • Verifies that all PCA information on all new hires has been entered as well as monitors changes in EPAF system for timely processing.
  • Determines whether a potential non-appointee’s activity description meets the test of a non-appointee or whether the individual should be classified as a paid employee.
  • Oversees onboarding of non-appointees.
  • Coordinates all non-appointee’s with the Education Division and submits to the school non-appointee group for final approval.
  • Processes all faculty and staff bonuses and all faculty salary change requests, ensuring sufficient justifications and compliance with department policies.
  • Manages annual merit processing and evaluation process.
  • Creates salary reports for each division as needed.
  • Develops and updates payroll forms, tracking mechanisms and procedures.
  • Updates Workday with all departmental information, coordinating with facilities project manager on any missing information.
  • Monitors faculty and staff costing allocation on operating budget funds for accuracy.
  • Updates licensures in a timely manner within Workday.
  • Provides backup for Payroll Associate.
  • Special projects as assigned.

Preferred Qualifications

  • Bachelor's degree is strongly preferred.
  • Experience with Workday.
  • Experience in a medical, research or educational environment preferred.
  • Proficiency with Microsoft Office, particularly Excel.
  • Knowledge of standard accounting and payroll administration practices.
  • Understanding of financial and human resources related issues.
  • Skill in development and documentation of operating and administrative policies and procedures.
  • Excellent oral and written communication skills.
  • Strong critical thinking, problem solving and attentiveness to detail required.
  • Knowledge of accounting principles and procedures.
  • Ability to analyze problems and develop creative solutions in a wide variety of situations.
  • Ability to function independently in a professional and confidential manner essential.

Required Qualifications

  • High school diploma or equivalent high school certification.
  • Two to four years of experience in University administration, accounting, payroll or HR.
  • Appropriate education and/or experience may be substituted on equivalent basis.

Grade

G08-H

Salary Range

$20.15 - $31.26 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
