Job Description :
We are seeking someone highly motivated with previous experience supporting multiple Senior Vice Presidents and managing complex calendars. The candidate should be able to work well under pressure in a busy and dynamic environment. This position is a modern evolution of a traditional Administrative Assistant.
Hours: 9:00 am – 5:00 pm with approved overtime.
Location: Hybrid (at least 3 days onsite in NYC)
Responsibilities:
  • Primarily support the Technology Leadership team in the day-to-day planning and execution of general administrative tasks.
  • Maintain complex and detailed calendars across multiple time zones, and prioritize meeting requests.
  • Organize all aspects of meetings, including calendar invites, conference rooms, building access, and catering as needed.
  • Arrange and coordinate complicated domestic and international travel, including hotels, car transfers and visa applications when necessary.
  • Process expense claims via Concur, ensuring all policies are followed and items are processed within provided guidelines.
  • Greet and provide general support to visitors.
  • Handle regular activities without prompting, and advise in advance of issues or delays.
  • Participate in ad hoc projects as requested.
  • Utilize solid business writing skills to draft and revise weekly, monthly, and ad hoc communications to the Global Tech team or specific GT teams.
  • Communicate effectively and efficiently with diverse audiences including senior executives and leaders, with both candor and kindness.
  • Tap exceptional organizational skills to assist principals in organizing and running leadership meetings, town halls, office hours, offsites, and other meetings of importance, including tracking action items and following to completion.
  • Coordinate and assist with new hire onboarding and departing employee offboarding, including the updating of distribution lists and organizational charts.

Qualifications:
  • At least 5 years of administrative experience supporting senior-level staff.
  • Ability to maintain a high level of confidentiality at all times.
  • Be able to prioritize and multitask when receiving direction and requests from multiple people.
  • Self-starter with excellent anticipatory and problem-solving skills
  • Possess a keen sense of logic, intuition, and motivation.
  • Strong attention to detail with thorough follow up skills.
  • Flexible and able to adapt to unexpected events.
  • Comfortable working in a team environment, not siloed, in a highly visible open environment.
  • Work well under pressure and multi-task in a deadline-driven environment.
  • Have a curious nature and willingness to learn.
  • A plus! Have an interest in global technology as a business, including digital content across a range of diversified media and information services.

Pay Range: $50,000 - $125,000
