Foundation Operations Program Manager

GENERAL JOB FUNCTION


The Foundation Operations Program Manager works directly with the Foundation Executive Director on all activities supporting the goals and objectives of the Foundation.  It also works closely with the DNWest Marketing & Communications (MarCom) and Finance departments and is responsible for the implementation of efforts to raise money, tracking the money raised, and responding to individuals giving to the Foundation.  The individual in this position must understand the Customer Relationship Management (CRM) system used for the Foundation and DNWest, and retain intimate knowledge and understanding of the Executive Director’s overall strategy for the Foundation. This person independently manages program operations, tasks, duties, and oversees department information and data management, including the collecting, compiling, and presenting of reports for the Foundation. This individual works with all the individuals associated with supporting Foundation operations to ensure efficiency and timeliness in processing contributor information and contributions using best practice techniques to maintain optimal data integrity.

 

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES


Foundation Operations Program Management
  • Manages day to day operations of the Foundation office overseeing the processing of  mail, answers telephone inquiries, overseeing general correspondence, maintaining file systems, handling check requests and expense oversight.
  • Manages complex calendars, appointments, and travel arrangements.
  • Communicates priorities and tracks progress against handoff dates and ensure project milestones are completed on time.
  • Maintains an effective materials management system for the Foundation functions.
  • Develops and implements specific plans for the solicitation and stewardship of individual and corporate donors at all levels of giving.
  • Attends and participates in capital campaign meetings and events.
  • Contributes to the planning and implementation of new fundraising campaigns and a robust outreach and communication strategy.
  • Researches and identifies new donors and opportunities.
  • Establishes and expands upon relationships with individuals, corporations, and foundations in the community who may be interested in donating.
  • Creates and implements a robust stewardship program and assists in fundraising and cultivation efforts.
  • Performs other tasks, as assigned or appropriate to achieve the Foundation’s fundraising goals.


Customer Relations Management System Oversight
  • Maintains an eye on improving competency on administration of CRM, identifying and implementing process improvements, and ensuring efficiency of platform function.
  • Acts as ambassador for utilization of CRM platform within the Foundation and the MarCom department.
  • Creates reporting and data dashboard designs that help formulate and measure Foundation objectives and key performance indicators.  
  • Prepares reports and documentation, including but not limited to, strategic plans, evaluation of campaigns, initiatives or other activities; business expenses related to specific grants or projects, annual summary report of activity and results by year end and updates as requested during the year; maintains accurate and current documentation of all activity and outcomes of specific programs and events.
  • Oversees and participates in responding to contributor inquiries and complaints, via phone, email or letter.
  • Assists Finance with the execution of a monthly reconciliation of CRM with general ledger.


Media Participation
  • Participates in media events as requested representing the Foundation and DNWest goals and mission.   
  • Proactively identifies and pitches media stories per the direction of the Executive Director and in partnership with MarCom supporting Foundation events and operations.
  • Supports MarCom department with content for the Foundation and DNWest social media channels.


Additional Responsibilities
  • Builds Foundation program champions and partners to help with Foundation events and programs.
  • Seeks continuing educational opportunities, attends industry conferences, and visits high performing Organ Procurement Organizations (OPOs) when pertinent to learning best practices for Foundation work. 
  • Seeks professional development opportunities to enhance role and effectiveness as the Foundation Operations Program Manager.

EDUCATION AND EXPERIENCE
  • Bachelor’s degree in Marketing, Communication, Business, Public Relations, or related field.
  • 3-5 years of experience in development, fundraising, sales, or marketing at a non-profit organization.
  • Exceptional interpersonal, verbal and written communication skills, including the ability to compellingly articulate the agency’s mission with a clear commitment and belief in the work.
  • Strong self-motivation and ability to work as part of a collaborative team.
  • Strong computer skills, including experience with database management and mass email providers.
  • Highly organized and detail oriented.
  • Proficient in using Microsoft Office including Outlook, Word, Excel, and PowerPoint.
  • Must have the ability to travel within the DNWest’s service area by car. Must maintain a valid California driver’s license and current vehicle insurance based on California minimum insurance coverage standards.


$104,754 - $130,968 a year
