Your role in the team
 
We are expanding and looking for a Senior Office Coordinator to join our UK team before the end of the year. We are a team of around 70 people looking to grow to 100 people in the next couple of years. In this role, you will create and maintain a vibrant office environment where our consultants thrive. You will implement and manage office processes to ensure smooth operations, support team productivity by providing essential administrative assistance, and create a positive workplace culture. This is a full-time position reporting to the Finance Manager based in the London office. This role will suit someone who thrives in fast-paced, changeable environments and has previous experience working with C-suite executives and clients.
 
About the role
 
Accountabilities
 
General Office Management
·        Maintain the condition of the office and arrange for necessary improvements/repairs.
·        Manage the relationship with our main vendors and be responsible for smooth financial processes with them.
·        Organise the office layout and maintain supplies of stationery and equipment, including technology and groceries.
·        Help acclimate new team members and provide guidance for visiting employees/clients.
·        Keep staff updated with any office-relevant information.
·        Be the first point of contact to welcome guests/clients/applicants/suppliers and make sure the office is ready to welcome them appropriately.
·        Receive mails, parcels, posting of mail, ordering, and receiving deliveries.
·        Raise issues with building management for any contractors and for all office works (e.g., painting, installation of new equipment, …).
·        Managing in-office catering and other needs for client events.
·        Assist in the coordination of companywide events.
 
Health and Safety
·        Keep up to date with all H&S laws and ensure compliance.
·        Ensure all risk assessments are carried out within given timeframes and manage the training of first aiders and Fire Wardens.
·        Record any office H&S incidents and action plans where appropriate.
 
About You
Desired Skills & Experience – (you don’t need to be able to tick them all!)
 
Requirements:
       Previous experience in coordination of office operations.
       Proficiency in MS Office Suite with a focus on Excel.  
       Proven ability to multi-task and provide constant evaluation of, and flexible response to, rapidly shifting business priorities and project deadlines.
       Experience working with outsourced service providers and contractors.
       H&S qualification or working towards would be advantageous.
       Excellent customer service with a background in client facing preferred.

       Excellent interpersonal skills engaging with and communicating with stakeholders of all levels.
       Demonstrate ability to think critically and problem solve.
       Detail-oriented with strong organizational skills.
       Driven by helping others, personable, trustworthy and reliable.
