Position Summary:
The Supervisor, Payroll will manage the Company’s payroll process & oversee the human resource information system (HRIS). This position will work together with Accounting and Human Resources to handle full-cycle payroll processing and reporting as well as HRIS functionality, workflow, configuration, system benefit administration and user access. This position will also provide support to Accounting in the areas of Accounts Payable, Account reconciliations, and general ledger accounting functions.
Key Responsibilities:- Develop, run and maintain HRIS and payroll-related reports, processes, and procedures.
- Review all payroll reports prior to processing as well as reviewing data such as garnishments, PTO time, and insurance and payroll deductions.
- Perform data audits to ensure accuracy/ data integrity. Create and implement plans necessary to correct data discrepancies.
- Seek out industry specific on-going education and training.
- Develop and maintain departmental SOPs.
- Maintain up to date training in the HRIS system.
- Manage payroll tax accounts, including following up on tax notices and Paycom, track and send new tax account numbers to Paycom, set up access to new accounts online, review and approve employee relocations as it relates to tax registrations.
- Quarterly reconciliation of wages and taxes.
- Review and approve year-end tax forms.
- Ensure accurate and timely maintenance of data entry.
- Provide expertise, instruction and guidance to administrators and staff on the use and functions of the Company’s HRIS. Developing instructional guides for administrators and staff.
- Work with HR & Accounting to configure data workflow including access permissions, work groups and approval paths.
- Assist with the creation of analytical reports.
- Assist in the creation, enhancement and set up of new HRIS functionalities. This includes any necessary testing.
- Collaborate with HRIS vendor to address any issues in a timely manner.
- Assist team with employee HRIS training on timecard approvals, punch edits, PTO requests, password resets, etc.
- Conduct monthly payroll meetings and one on one meetings with staff.
Payroll/Accounting:
- Manage Payroll Specialist and verify their timecards and PTO.
- Review all payroll reports prior to processing as well as reviewing data such as garnishments, PTO time, and insurance and payroll deductions.
- Pull 401k changes and new loan documents for payroll processing.
- Run month end reports for payroll related accruals and post entries in NetSuite.
- Calculate monthly incentive bonuses and work with department leaders on approvals.
- Set up new deductions and earn types as needed in HRIS system.
- Assist with benefit accounting as required.
- Maintain Payroll related Balance Sheet reconciliations.
- Assist with year-end audit as well as 401K and workers comp audit.
- Other job duties as needed.
Requirements and Qualifications:- Bachelor’s degree in Business, Finance, Accounting or other related field of study preferred.
- CPP certification preferred.
- 3+ years’ experience supervising and administering payroll, HRIS and benefits processes required.
- Experience leading the payroll element of a HRIS software conversion would be a plus.
- Must have a high level of interpersonal skills to handle sensitive and confidential situations.
- In-depth knowledge of HR, Benefit and Payroll business processes.
- Strong understanding and knowledge of HRIS software.

- Must have strong computer proficiency and understand how to use basic office applications, including MS Office (Word, Excel, and Outlook).
