Event Planner

Responsibilities include the following, and may change based on business need:
  • Trade Show / Event Calendar - Maintain for each year - capture dates, location, booth # & size, etc.. (this should be saved in a shared location – Teams)
  • Certificate of Insurance – Securing the most current COI internally and providing to show contacts as needed.
  • Maintain show tracker for each show – Manage .xls file with line items for all workstreams related to the show.
  • Schedule and facilitate planning meetings – Kick off about 4 months prior to show and manage weekly/bi-weekly planning meetings ongoing until show date.
  • Booth staff - Identify staff, create booth staff schedule, schedule a staff training, order apparel for staff.
  • Lead Scanner management – Manage lead collection process.
  • Registration –Manage registrations for multiple INGR attendees and keep up with changes in travel plans.
  • Lodging – Own coordination of check in and check out dates for all attendees updating as needed.
  • Promo items – Align items for reach show, manage inventories, shipping/receiving.
  • Support with Internal and external meetings - Booking meeting rooms and ensuring they are fully equipped with organizers requests and any meals required
What you’ll need (the how):
  • A self-starter mindset, working independently, but with a highly collaborative approach and ability to work well in matrixed teams (e.g. business teams, global/regional teams).
  • Relentless passion and focus on managing and distilling complexity and details.
  • Strong customer focus and approach to business situations.
  • Readiness to adapt to new processes/technologies and change.
  • Focus on details and timeliness of deliverables.
  • Creative and innovative thinking and resourcefulness.
  • Strong interpersonal skills and demonstrated leadership behaviors in line with Ingredion company values.
What you’ll need (the what):
  • Bachelor’s degree (preferably in Marketing, Communications, or related field) required.
  • 3+ years’ experience in a marketing or event planning role.
  • Strong influencing skills.
  • Knowledge of project management – both process and technology.
  • Excellent organization skills with demonstrated ability to manage major, complex projects and events.
  • Excellent project planning and time-management skills. Must be able to prioritize and manage multiple projects simultaneously with a focus on details, completing deliverables accurately and on time.
  • Excellent written and verbal communication skills, including simple and visually based storytelling in PowerPoint.
  • Demonstrated advanced proficiency with Microsoft Office Applications – esp. Microsoft Excel.
  • Ability and willingness to travel as needed for trade shows, and among Ingredion sites (Westchester, IL, Bridgewater, NJ, and White Marsh, MD), including weekends and evenings as needed.
