Your Impact – Executive Administrative Assistant
AMETEK is currently looking for an Executive Administrative Assistant in the Divisional and Group Executives at the Pittsburgh Office. The Executive Assistant will be reporting to the Divisional GM and Group executive team, and is responsible for collaborating with and supporting This role with provide support to the EIG Group, P&AI and MCT divisions comprised of Group President, 2 VP/General Managers, and Finance and HR Vice Presidents for the 2 of the company’s divisions Using discretion when working with highly sensitive and confidential information concerning the company, executive management, and employees is a must. Further, the ideal candidate will self-directed and able to proactively self-identify and priorities objectives and tasks with the ability to seek other opportunities in which they can contribute and offer collaboration and support.
Key Responsibilities of the Executive Assistant
- Support executive schedule coordination and organization of managing calendars and appointments, including meetings, conference calls, departmental activities, and conference room arrangements for multiple executives.
- Prepare, modify, and finalize Executive presentations, mostly PowerPoint.
- Coordinate travel arrangements and support and connect with agency for unforeseen revisions.
- Gather needed documents, and prepare and submit expense reports for multiple executives.
- Conducts all business in a professional and ethical manner to serve customers and increase the goodwill and profit of the company.
- Work independently and within a team on special and nonrecurring and ongoing projects
- Serve as a project manager for special projects, at the request of Executives, which may include planning and coordinating multiple presentations, disseminating information, and organizing company-wide events.
- Design, create, and disseminate general correspondence, memos, charts, tables, graphs, business plans, and related.
- Maintain the databases and information retention for Division and Group
Requirement of the Executive Assistant
- Associate Degree or equivalent from two-year college or technical school
- 4-6 years of related experience supporting executive level management in a fast paced and ambiguous environment
- Provide attention to detail and manage multiple responsibilities.
- Ability to handle confidential information in a professional and extremely discrete manner.
- Proactive, energetic self-starter with strong organizational skills and ability to multitask.
- Exceptional analytical, interpersonal, written, and verbal communication skills.
- Proven ability to work independently as well as in a team in a team-oriented culture.
- Strong analytical and problem-solving skills with the ability to organize and prioritize large volumes of information.
- Ability to work well with all levels of internal management and external companies and vendors.
- Proficiency with the latest computer technology, particularly Microsoft Office.
