The Executive Assistant will provide both administrative support and business services to multiple executives and departments reporting to them, as well as some support for certain tasks across the company. Reporting to the Business Manager & Sr EA, the Executive Assistant will need to have strong problem resolution skills, be highly organized and detail oriented. This role will provide primary support to two or three AJC executives and their department directors; including but not limited to managing calendars, organizing meetings and preparing meeting space, catering, and travel and expenses. The position is also responsible office support, process administration, and office administration for the company. Duties may include handling incoming/outgoing mail, supply ordering and inventory, storage and filing, tear sheet and archiving maintenance of the newspaper for the advertising/news departments, In addition, The candidate should be flexible, able to manage priorities, and be resourceful. Independent judgment is required to plan and organize a diversified workload.
Administrative
- Performs as Executive Assistant to AVPs.
- Maintain executive and director schedule/calendar.
- Works independently to support assigned senior leaders
- Coordinate travel as requested for assigned executive and their teams
- Organize and manage meetings and events including catering, scheduling and transportation.
- Handles highly sensitive information
- Provide executive level administrative support with high degree of initiative, confidentiality, and professional demeanor.
- Prepare and track expense reports and reimbursements in a timely manner (incudes managing and collecting receipts/invoices).
- Support executives with preparation of reports, articles, speeches/remarks, and presentations, including quarterly business review all-employee meetings.
- Responsible for general filing, logging and labeling documents and correspondence to assure access to information and to maintain order in the office.
- Maintain confidential department files and records using judgment and discretion.
- Handle internal & external correspondence and communications, phone calls, and creates reports and presentations using appropriate software.
- Perform other duties and projects as assigned by manager or executives
Business Services
- Provides high-level transactional support and procedural expertise across multiple teams.
- Ensures the prompt and efficient administration of all assigned duties.
- Order and maintain supplies for company/office.
- Organize and assist with new hire onboarding
- Communicate with building management or with our corporate partners
- Coordinate special events related to team building, retirements, or other celebrations
- Provide general administrative support including mail, fax, filing, copying, and record keeping.
- Coordinate newspaper tearsheets and archiving
- Administrator ticket related assets for external and internal clients
- Ensures all material and documents are signed, approved, and distributed / submitted as required by standard operating procedure and protocol.
- May develop and/or maintain process / program organizational documentation.
- Assists with the development and dissemination of diverse internal and external communications.
- Assists with set up and execution of onsite and off site department/company events.
Education
- Bachelor's degree
- May substitute years of experience in lieu of degree
Experience
- 3+ years of experience in executive support or business services
- Must have a superb grasp of technology and strong knowledge of Microsoft Office products including Word, Excel, PowerPoint, Outlook, and Teams.
- Prior administrative support not required, but desired.
- Must be dependable and be able to maintain the highest level of confidentiality.
- Must be detail oriented and have the ability to prioritize and multi-task.
- Excellent interpersonal skills and must be able to build relationships and communicate with all levels throughout the company.
- Excellent verbal and written communication skills.
