Executive Assistant

The WelbeHealth Executive Assistant provides key administrative coordination and logistics support to the team of Executives and facilitates communication between team members and external stakeholders. The Executive Assistant’s specific duties will vary based upon the supervisor’s scope, but may include scheduling, meeting coordination, and assisting with special projects.

Essential Job Duties:

  • Anticipate and proactively oversee extremely intricate scheduling logistics for the CEO and critical internal and external stakeholders, to ensure 100% seamless transitions between both in-person and virtual meetings
  • Organize and oversee CEO inbox in real time, to ensure that high priority items are constantly flagged and inbox is organized and cleaned out, to ensure easy maneuvering
  • Oversee all Board & large executive meeting planning and logistics, to include meals, printing, room set-up, AV and technology, etc. as well as arrival and departure schedules for all attendees
  • Engage effectively and respectfully with Board member EAs to ensure continuous schedule alignment between CEO and WBH Board members
  • Draft written communications (e.g., emails, short presentations, word documents) on behalf of the CEO and VP, Corporate Strategy as requested. This will require the person to be genuinely interested in and spend time understanding Welbe’s business and key pieces of work
  • Greet and interact with community partners and visitors in a welcoming and courteous manner creating a welcoming environment
  • Communicate with external stakeholders on behalf of the executive team (Board members, elected officials, regulators, potential partners)
  • Assist personal planning and organization activities, to include personal calendar organization, select trip planning, gift organization, etc.
  • Provide in-office aid at least 3 days per week in Menlo Park office
  • Provide other personal aid to CEO
  • Available to travel up to weekly with CEO to different locations (primarily CA-based) to provide onsite aid for CEO

Job Requirements:

  • Associates degree; two (2) years of executive-level administrative experience may be substituted in lieu of education
  • Bachelor’s degree preferred
  • Minimum of three (3) years of experience supporting an executive or manager as an Administrative or Executive Assistant
  • Demonstrated experience in Microsoft Office (high-level knowledge of PowerPoint, Teams & Sharepoint preferred)
  • Must be willing and have the ability to work a varied schedule that may include evenings, nights, and weekends.

Salary/Wage base range for this role starts at $140,000.00 + Bonus + Equity. WelbeHealth offers competitive total rewards package that includes, 401k match, healthcare coverage and a broad range of other benefits. Actual pay will be adjusted based on experience and other qualifications.
