We are a nonprofit, donor-supported organization that has raised and invested billions of dollars to help develop cystic fibrosis therapies that have changed the lives of people with this disease. Nearly every CF medicine available today was made possible because of Foundation support.
POSITION SUMMARY:
Reporting to the Chief Communications and Marketing Officer (CCMO), this role provides executive administrative support and project support to the CCMO and the Communications and Marketing team. The Executive Assistant coordinates and facilitates daily activity so that the CCMO and the department run efficiently and smoothly. This is a hybrid role based in Bethesda, MD, and requires 2-3 days per week in the Bethesda office.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Manages the CCMO’s calendar and daily schedule.
  • Schedules and supports meetings for the CCMO by sending meeting invites; developing agendas; preparing the CCMO; tracking attendance; and managing logistics (e.g., booking and setting up rooms, technology, and catering) as needed.
  • Drafts, edits, and/or manages key reporting documents and production of CCMO presentation materials, including PowerPoint decks.
  • Schedules and supports the CCMO’s travel.
  • Manages operations for the Communications and Marketing Department (e.g., scheduling team meetings, organizing and maintaining digital folders and files, ordering supplies, approving timesheets, submitting expense reports).
  • Collaborates with the team’s Business Director to complete or coordinate key tasks and supports high-priority initiatives for the department as needed.
  • Other duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
  • Minimum of six years of related experience along with four-year college degree preferred.
  • Excellent verbal and written communication skills with a keen proofreading eye. Knowledge of AP Style a plus.
  • Excellent organizational skills. Demonstrated ability to balance multiple tasks simultaneously and maintain strong attention to detail.
  • Strong knowledge across full MS Office suite (e.g., Outlook, PowerPoint, Excel, Word, Teams, OneDrive). Knowledge of Canva a plus.
  • Resourcefulness. Demonstrated ability to bring tasks to completion by identifying resources and procuring tools with limited instruction.
  • Superior interpersonal skills; able to adapt and work collaboratively with diverse stakeholders in a fast-paced setting.
  • Team player; positive, can-do attitude with customer service orientation.
  • Exercises good judgment; maintains a high-level of professionalism and discretion.
REPORTING RELATIONSHIPS:
  • Reports to the Chief Communications and Marketing Officer; no direct reports.
WORKING CONDITIONS:
  • Normal office environment with little exposure to excessive noise, dust, and temperature.
  • No heavy lifting required.
  • Minimal travel (e.g., 2x/yr.) to conferences and meetings, as necessary.
