Purpose:
Executive Assistant responsible for a wide range of administrative and executive support-related tasks, such as schedule management for multiple executives on the USGC and Houston leadership team, office management, communication liaison, information and report preparation, coordination of travel arrangements for multiple leadership team members and representing the executives to others. Supports multiple Vice Presidents with work involving frequent visibility to high level internal and external customers. Manages confidential information and communications. Uses discretion, judgement, and knowledge of organization to facilitate the Vice Presidents’ activities. Full comprehension of company's operation procedures. Work is independent and collaborative for the leadership team environment.
Responsibilities:
- Function as point of contact among executives, employees, and customers for the USGC and Houston leadership team
- Calendar management for multiple Vice Presidents
- Manage information flow in a timely and accurate manner.
- Reserve conference rooms and establish layouts, food/drinks, and materials in support of meetings/gatherings.
- Ensure onsite IT is available and ready to support conference room meetings.
- Ensure onsite IT is available and ready to support IT issues for the Houston Operations team.
- Manage and initiate operations area floor access for internal and external visitors.
- Draft, review and send communications on behalf of Vice Presidents
- Working in an autonomous environment dealing with “confidential and sensitive” information (acting as a “gate keeper” to minimize disruptions and duplication of work)
- Represents the Vice Presidents, at all levels within the Worley business while liaising with other executive assistants within the company, including the C Suite located in Houston offices.
- Effective diary and inbox management
- Scheduling/organization of meetings and functions as required, both internally and externally, including reserving conference rooms and setting up
- Organization of domestic and international air travel, accommodations, passports / Visas, etc.
- Credit card reconciliation/expenses/invoices for leadership team
- Preparation of weekly/monthly directors reports for the President to meet strict deadlines.
- Creation and formatting of correspondence, papers, agendas, minutes, and presentations to meet Worley’s brand guidelines.
- Preparation and updates to organization charts as appropriate
- Maintain various documents/records for Vice Presidents
- Order office supplies
- Lead setup and support of Townhall events, when scheduled/required.
- Lead setup and support of other company functions (social events, customer engagements) such as holiday parties or other events at locations on property or away from the office
- Develop organization charts for the Houston Operations team
What you will bring
Technical and Industry Experience:
- Minimum of 8-10 years industry experience in an Executive Assistant capacity, ideally in the same or similar industry
- Able to show initiative, be organized and have a proactive approach to problem-solving with strong decision-making skills.
- Must be able to meet deadlines in a fast-paced environment.
- Able to work independently, but also able to collaborate with other team members and executive assistants.
- Able to be flexible with work hours to support and meet deadlines.
- Ability to work 5 days a week in the office, when needed. Minimum expectation is 4 days in the office.
Education – Qualifications, Accreditation, Training:
Required:
- Excellent verbal and written communications skills, including the ability to convey information and ideas to individuals and groups.
Preferred:
- Highly competent in MS Office Suite (Word, Excel, PowerPoint, Outlook, etc.)
