Join our team as an Executive Assistant Lead. This position performs comprehensive administrative duties in support of C-level executive(s) while serving as a liaison to the company’s senior executive management team, administrative staff, community leaders and internal/external customers. Serves as the administrative team lead by providing direction/guidance for the purpose of achieving company goals and assisting human resources with hiring, development and succession planning. Tasks and Functions The Administrative Lead provides high-level autonomous support. This person will be expected to manage information of a highly sensitive nature, professionally partake in problem resolution, participate as an adjunct member of the executive team and deliver professional internal and external customer service support.

Time Management:

  • Manage the C-level executive’s schedule, determining which events require his/her presence, schedule commitments to maximize his/her productivity and efficiency, and assures appropriate time is scheduled to complete work tasks and strategies.
  • Plans, coordinates and ensures the C-level executive(s)’ schedule is followed and respected. Provides "gatekeeper" and "gateway" duties, creating win-win situations for direct access to the C-level executive’s time and office.
  • Prepares meeting agendas and materials, researches information and provides guidance on pertinent issues; assesses inquiries and concerns directed to the C-level executive; determining course of action and delegates to the appropriate person to manage.
  • Provide follow-up and follow-through on C-level executive(s)’ actions to advance the efficiency and effectiveness of the business.
  • Represent the C-level executive by welcoming visitors, reviewing correspondence; arranging company dinners and other corporate functions; answering questions and meeting requests directed to the C-level executive.
  • Manage incoming telephone communication including taking messages, arranging callbacks, providing backup materials for callbacks, and prioritizing and triaging calls to the C-level executive or transfer inquiries to others to manage.
  • Manage incoming/outgoing electronic/paper mail and arrange essential mail in priority action order. Draft letters, memos and other written correspondence, as needed.
  • Arrange all travel arrangements/ accommodations and itineraries, expense reports, check requests/invoices
  • Assist C-level executive(s) in preparation of presentation materials.

Project / Process Management:

  • Complete projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; analyzing data, problem-solving and adjusting plans through completion.
  • Generates new or innovated solutions to complex problems; suggests process improvements.
  • Defining priorities for the C-level executive; provides counsel and advice on company-wide policies and procedures.

Leadership - Administration:

  • Develop strategies for the administrative staff to reach company goals, i.e., provide guidance, communicate clear instructions and monitor administrative staff participation and progress towards those goals.
  • Assist human resources in the hiring and development of administrative staff and provides input on administrative staff bench strength, strengths and areas of development
  • Demonstrate unconditional positive regard to employees, suppliers, guests while conducting all aspects of job responsibilities

  • Strong interpersonal skills with the ability to build relationships with stakeholders, staff and external partners and the ability to lead and influence a team; possesses emotional maturity
  • Expert level written and verbal communication skills
    Proven ability to handle highly confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service
  • Competent at resolving complex problems using strong analytical skills and research techniques

Experience and Educational Requirement

  • Bachelor’s Degree preferred
  • Strong work tenure: 5+ years of experience with proven administrative performance
