As an Executive Assistant, you will provide high-level administrative support to senior level executives and C-Suite leaders within the organization. You will play a crucial role in managing schedules, coordinating meetings, handling confidential information, and facilitating effective communication. Your professionalism, discretion, and ability to anticipate needs and prioritize tasks will contribute to the smooth functioning of the executive's office.
Responsibilities

Calendar Management: Coordinate and manage complex calendars, including scheduling and organizing appointments, meetings, and travel arrangements. Proactively anticipate schedule conflicts and resolve them efficiently. Prioritize and allocate time effectively based on the executive's preferences and priorities.

Meeting Coordination: Schedule, prepare for, and coordinate meetings, conferences, and teleconferences. Prepare meeting agendas, documents, and presentations. Attend meetings, take accurate minutes, and distribute them to relevant participants. Follow up on action items and ensure timely completion. Partners with Marketing global events team to coordinate executive participation in key customer/partner events

Provide preparation support to executive meetings. Arrange and handle logistics for key customer meetings, company leadership meetings, and events; schedule meetings, ensure agendas are prepared; assist in developing and distributing presentation materials.

Communication Management: Serve as the primary point of contact for internal and external stakeholders. Screen and prioritize incoming calls, emails, and correspondence. Draft and edit communications, including emails, memos, and reports, on behalf of the executive. Maintain professionalism and discretion in all communications.

Travel Arrangements: Arrange domestic and international travel logistics, including flights, accommodations, transportation, and visa requirements. Prepare detailed itineraries and travel documents. Monitor travel changes and proactively address any issues that may arise.

Document Management: Create, edit, and proofread various documents, presentations, and reports. Handle sensitive information with discretion.

Relationship Management: Build and maintain effective working relationships with key stakeholders, both internal and external. Liaise with colleagues, clients, partners, and vendors on behalf of the executive. Represent the executive's office professionally and diplomatically.

Project Support: Assist with special projects and initiatives as assigned by the executive. Conduct research, gather data, and prepare reports or presentations. Coordinate cross-functional teams and ensure timely progress and completion of projects.

Confidentiality and Discretion: Handle confidential and sensitive information with the utmost discretion and professionalism. Maintain confidentiality in all matters related to the executive's office, including personnel matters, financial information, and business strategies.

Proactively provide backup support to the other members of the administrative team as necessary.
Qualifications
Required:
-
Associate degree or equivalent prior experience in business administration or related field

4+ years in a progressively responsible administrative support role with at least 2 years supporting senior level executive role(s)

Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines; must be flexible and adaptable to changing priorities and deadlines

Strong attention to detail and exceptional written and verbal communication skills

Exhibit sound judgment and decisiveness while anticipating problems and taking initiative

Ability to maintain confidentiality and exercise sound judgment in handling sensitive information

Excellent interpersonal skills and the ability to build relationships with diverse stakeholders
