Collette is seeking an Executive Assistant to assist Collette’s President, Chief Customer Experience Officer, and Executive Vice President of Global Sales. This is a hybrid position based out of our Pawtucket, RI headquarters.

Job Summary:
The Executive Assistant will proactively manage routine and impromptu tasks, directly assisting Collette’s President, Chief Customer Experience Officer, and Executive Vice President of Global Sales. Given flexibility to exercise good judgement, the Executive Assistant is entrusted with ongoing administrative tasks as well as special projects and will help maintain the best possible balance with multiple priorities. The right candidate will have excellent written and verbal communication, comprehension, and organizational skills and will conduct themselves professionally.
Primary Functions:

Compose, prepare, and review correspondence that is often confidential

Monitor progress on various companywide initiatives and keep track of items requiring the executive’s attention

Independently drive special projects in the realms of Marketing, Sales, CRM, Tours, and other companywide initiatives

May host and narrate presentations in-person and via Zoom, Teams, etc. ranging from a few to hundreds of participants

Communicate on the executive’s behalf with company executives, management, and key partners

Act as a guardian of the executive’s calendar, using discretion as needed and identifying necessary calendar entries to initiate

Set up meetings and proactively manage conflicts or changes

Act as liaison between the executive’s and all internal departments and external business associates to ensure that pressing matters are attended to in an efficient manner

Track credit card expenditures and assist in the monthly reconciliation process

Arrange detailed travel plans, and compile documents for travel-related meetings

Learn to reference, edit, and maintain data in various company software programs
Knowledge and Skills:

Demonstrated ability to provide high-level administrative support

Proficient in MS Office including Word, Excel, Outlook, and PowerPoint

Strong communication skills, both verbal and written

Ability to maintain professional discretion with sensitive and privileged information

Proactive & detail-oriented with strong organizational skills

Ability to produce timely output in a fast-paced environment

Ability to prioritize administrative duties: demonstrated ability to handle multiple projects and details simultaneously

Excellent interpersonal skills including tact and diplomacy

Ability to work cooperatively with staff inside and outside of the department

Ability to exercise good judgment

Bachelor’s Degree required.

Minimum of 3-5 years of experience.
Starting Annual Salary: $60,000.00 - $90,000.00
