Job Description

The Executive Coordinator proactively plans and owns deliverables within the purview of assigned executive leader(s). The Executive Coordinator collaborates with departments across the organization, including Corporate Communications, Finance, People & Culture, and Operations. The Executive Coordinator provides high level, professional support to Cielo’s executive leaders.

Location: Brookfield, WI-hybrid. To be considered you must live within a commutable distance from the Cielo Headquarters in Brookfield, WI as this is a hybrid opportunity. The majority of the time, this role will be remote, but the Executive Coordinator will need to come into the office occasionally for meetings and special events.

Duties and Responsibilities

  • Anticipate the needs of senior leadership and proactively and appropriately plan and take action to address directives
  • Create annual calendar of meetings and activities, monitor, and make changes in agreement with senior leadership
  • Plan and coordinate meetings and events, including arranging venues, sending meeting invites, organizing food and beverage, and booking travel and hotels (internally and externally)
  • Provide diary management and travel arrangement support for senior leadership
  • Coordinate functional communications, partnering with the Corporate Communications team, to ensure organizational alignment
  • Attend meetings to record notes and collate actions, and subsequently follow up on action items with attendees
  • Coordinate and standardize team processes as directed
  • Distribute materials to clients via multiple communication channels in collaboration with internal teams including Marketing and Corporate Communications
  • In collaboration with People & Culture, coordinate relevant programs including functional Town Halls, recognition activities in alignment with company programs
  • Prepare data and presentations as directed
  • Collate material required for meetings, review content for accuracy, and escalate/remediate as necessary
  • Support with the coordination of new hire onboarding activities and requirements
  • Maintain strict confidentiality
  • Provide project management support, as needed
  • Other duties as assigned
Qualifications

Education:

  • High School diploma or equivalent, required.

Experience:

  • 2+ years’ experience in an administrative support role in an office environment, required
  • Experience with calendar management, meeting and travel coordination, required. Experience with Concur a plus.
  • Experience providing executive level support preferred

Exposure:

  • High level of organization and prioritization skills
  • Ability to work under pressure and produce high quality results
  • Excellent standard of written communication
  • Proficiency with MS Office, specifically Outlook, PowerPoint, Word and Excel
  • Technology savvy
