Executive Legal Assistant

We are looking for a responsible, professional, self-starter to join our Legal Administrative Team in New York. In this role, you will enjoy working with executives and other administrative staff located throughout the Americas.

This position reports directly to the Office Manager based in New York City. You will support executives with calendar management, monthly expense reports, travel booking, and document execution. Additional duties will include:

  • Interfacing with external law firm senior partners and their administrators to ensure accuracy in billing.
  • Collaborating with finance and tax teams to ensure accurate billing streams and payment flows.
  • Assisting the finance team with quarterly accruals and expense tracking, and assisting with private and public fund payment and wire set-up.
  • Setting up new vendors in Coupa and assisting Procure Assist to onboard vendors with e-invoicing.
  • Obtaining relevant approvals and setting up Purchase Orders.
  • Preparing agendas for and facilitating ongoing legal team meetings.
  • Collecting and tracking data metrics for legal operations and billing.
  • Maintaining detailed legal records.
  • Presenting legal metrics to senior and global legal team executives.
  • Setting up and managing access for users within Diligent and BoNY.
  • Eventually training new and current executive assistants on numerous team processes and systems. Including, but not limited to billing, legal document execution, and filing.

To be successful in this role, you will need to be highly confidential with information and exercise appropriate judgment and discretion, demonstrate a proactive approach, be extremely organized, flexible, and have excellent attention to detail. In addition, you will need to handle multiple tasks simultaneously, possess excellent written and verbal communication skills, and demonstrate extensive knowledge of, or the have ability to quickly learn the following programs: Microsoft Office, COUPA, Concur, Blueprint, Adobe, Diligent Entities, and Diligent Boards.

Salary range for this position: $80,000 - $110,000/Yr. Actual base salary may vary based upon, but not limited to, relevant experience, time in role, peer and market data, prior performance, business sector, and geographic location. The successful candidate may also be eligible for an annual discretionary incentive compensation award.
