Position Overview:
We are seeking a highly organized and detail-oriented individual to join our team as a Front Desk Agent/Administrative Assistant at our home office in Golden Valley! As the first point of contact for clients, caregivers, and visitors, you will play a crucial role in providing exceptional customer service and ensuring the smooth operation of our administrative functions. This position requires excellent communication skills, multitasking abilities, and a compassionate approach to serving our clients and caregivers.
Responsibilities:
· Greet and welcome clients, caregivers, and visitors in a warm and professional manner.
· Answer and direct incoming calls, taking messages and delivering them promptly to the appropriate person.
· Manage the reception area, ensuring it is clean, organized, and well-stocked with necessary supplies.
· Maintain a professional and friendly atmosphere at the front desk, making all individuals feel valued and respected.
Administrative Support:
· Assist with various administrative tasks, including data entry, filing, and document management.
· Prepare and distribute correspondence, memos, reports, and other administrative materials as requested.
· Assist with maintaining accurate client and caregiver records, ensuring compliance with privacy regulations.
· Assist with billing and invoicing processes, including verification and collection of relevant information.
Customer Service:
· Provide exceptional customer service to clients, caregivers, and visitors, addressing inquiries and concerns promptly and professionally.
· Act as a liaison between clients, caregivers, and the management team, ensuring effective communication and problem resolution.
· Maintain a compassionate and empathetic approach when interacting with individuals, demonstrating sensitivity to their needs.
Qualifications:
· High school diploma or equivalent; additional administrative or customer service training is a plus.
· Proven experience in a front desk or administrative support role, preferably in a healthcare or home care setting.
· Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
· Strong interpersonal and communication skills, both verbal and written.
· Proficiency in using office equipment, including telephone systems, fax machines, and computer software (e.g., Microsoft Office Suite, scheduling software).
· Attention to detail and accuracy in data entry and record-keeping.
· Ability to maintain confidentiality and adhere to privacy regulations.
· Compassionate and patient demeanor, with the ability to remain calm in challenging situations.
· Flexibility to adapt to changing priorities and work collaboratively in a fast-paced environment.
