We’re looking for an Office Coordinator to join our Boston location! You will be responsible for creating and maintaining a top-level workplace experience for our employees!What You Will DoAs our Office Coordinator, you will be the first point of contact for any office-related matter, hence you will be the “face of the company” and interact with all levels of employees, greet incoming visitors, and clients.You will evolve and maintain a welcoming and functional office space including shared areas and meeting rooms. The role is broad and varied, while there are day today routines, new exciting tasks or dilemmas pop up every day. You will get to support the management team and people team in different areas and projects besides the daily responsibilities of the office.Most of the roles in the Boston office are customer-facing roles such as sales, customer success, and solution consulting. But we also have HR, integration engineering, legal, and finance. We are currently a bit over 50 employees in Boston. This is a chance to become part of a warm, fun, and collaborative group!Examples of responsibilities• Welcome visitors and vendors to the office; ensuring all visitor information is accurate and properly communicated to building security.• Main point of contact for building maintenance and office vendors.• Order business lunches and other catering.• Handle Mail and deliveries• Keep the office and all its premises tidy with daily rounds in conference rooms, open areas, and kitchen.• Act as onboarding support in terms of welcome packages, office access, office welcoming tours, and IT equipment.• Work closely with our Business Tech team to keep IT equipment well maintained and assist in troubleshooting.• Help set up office equipment and tech for company-wide weekly meetings.• Order office supplies and groceries.• Maintain coffee machines, fridges, kitchen area, etc.• Office Security (fire, CPR, Identification badges etc). Onboard new employees with our security procedures at the office.• Lead the Safety Committee.• Assist Afterworks, Holiday Parties, International Conferences, Birthday celebrations, etc.• Assist managers in planning/coordinating in the Boston office with smaller events.Who You AreYou are service-focused and take pride in your work. This is the right job for someone creative, flexible and out going. You have excellent verbal and written communication skills. You have a sense of urgency and the ability to prioritize between tasks and be a true team player.You will work from our Boston, MA office and report to the Office and Event Manager in Stockholm, this position is part of the global People Department, e.g. both the teams in Boston and Stockholm. The role is on-site, 5 days a week, main working hours will be between 8.00 AM and 5.00 PM.→ Learn more about our Boston site here!Skills and Experience• At least 2 years of experience working in a broad role as a Receptionist or as an Office Coordinator.• Comfortable with technology; know your way around office equipment and tech.• Strong organizational skills and attention to detail.• Ability to drive projects and follow up with stakeholders.• Excellent command of English (written and spoken).• Excellent communication skills.• CPR certification is a plus• Comfortable working in Google Suite, Notion, Zendesk, and Slack or similar is a plus.Who We AreFunnel is a Swedish-founded company with headquarters in Stockholm.
