Host Families Intake Coordinator

SUMMARY OF WORK PERFORMED: The Intake Coordinator is responsible for client intake and coordination of hosting arrangements for Western Washington. Other duties include participating in community engagement activities, developing partnerships with community resource providers and referring agencies, cultivating partnerships with local faith communities/churches, providing supervision and training for Host Families volunteers and interns, and providing emergency, on-call support to staff and volunteers in the program.

JOB DUTIES AND RESPONSIBILITIES:

1. Receive referral calls for Western Washington and provide initial screening/assessment to determine “program fit,” consult with Supervisor about referrals, and establish hosting arrangement particulars.

2. Meet with families who are requesting help to complete intake paperwork, gather necessary information, and provide referrals to helpful resources.

3. Provide support to volunteers and families to ensure that hosting arrangements begin with all particulars in place.

4. Maintain communication during hosting arrangements and follow up between volunteers, churches, families.

5. Maintain tracking/reporting of information pertinent to hosting arrangements.

6. Maintain and expand network with local community resource providers to create a referral base and resource network.

7. Support team efforts with local faith communities/churches to build partnerships and create Olive Crest ministry teams in churches.

8. Support recruitment strategies for Host Families program volunteers (host families, family coaches, and family friends).

9. Assist with maintenance of files for Host Families, ensuring that they are complete with regard to all the requirements.

10. Participate in the planning and development of Host Families annual events (recruitment, funding, holiday, etc).

11. Maintain current knowledge pertaining to Host Families approval process and Foster licensing, recruitment, and training; continue professional development through seminars and conferences.

12. Assist with facilitating connection to Olive Crest Foster Care dept. for host family parents who choose to pursue foster licensing.

13. Participate in weekly Host Families meetings, and group/individual supervision.

14. Participate in quality assurance/quality improvement activities including monthly internal Olive Crest activity/progress reports.

15. Recruit, equip, mobilize, and support volunteer teams to assist with tasks such as transportation, office admin support, etc.

16. Collaborate with other Olive Crest staff (Family Coach Supervisor, ED, RPD, CEO, etc) to provide information (monthly reports, in-person verbal reports, highlight volunteers/parents/etc) that can be used as updates for fundraising efforts/Trustee meetings/Board meetings, etc.

17. Assist with the program’s expansion of; the referral base for at-risk families, number of Host Families volunteers, geographic reach of the program into additional areas of Western Washington, and increased funding support of Host Families by participating and contributing in development activities.

18. Perform other duties as assigned.

REQUIRED QUALIFICATIONS:

1. Bachelor’s degree with experience working with at-risk youth and families.

2. Demonstrated skill in the following areas: public relations/public speaking, networking, volunteer recruitment and training, and working independently with little supervision.

3. The ability to schedule one’s time and to work autonomously.

4. Must provide own transportation and be willing to work at times in both North Sound and South Sound offices.

5. Valid driver’s license, and acceptable driving record.

6. Health Screening and TB test.

7. Valid car insurance.

8. Valid CPR, First Aid Certification

Experience working with at-risk youth and families

Experience recruiting, training, and mobilizing large groups of volunteers

Experience collaborating with local faith communities
