Responsibilities
Shamrock Trading Corporation is looking to add a HR Administrative Assistant to the team. This position will report to the Human Resources Manager and will provide general administrative support while performing a wide range of office and reception needs. The HR Administrative Assistant must be reliable and have the ability to work independently with little supervision while remaining professional, flexible, proactive, and resourceful. The job responsibilities will include, but not limited to:

Interact and professionally communicate with employees and staff of all levels

Provides support to the front desks in our Overland Park campus including daily lunch relief and back up coverage as needed

Acts as a backup for the Executive Assistant

Assist with corporate meetings, lunches, and scheduling of events

Monitor and stock executive conference rooms with water, coffee supplies, and tissues
-
Order office supplies and prepare new hire materials for upcoming new hire classes
-
Maintain strict confidentiality and discretion regarding all company-related sensitive information
-
Assists with daily filing both manually and electronically to maintain organizational standards
-
Supports the HR Department with various scanning and mailing projects and general company correspondence
-
Maintain and update company organizational charts
-
Assist with travel needs such as flights, hotel, and rental bookings
-
Sorts incoming mail and processes outgoing mail between all buildings on a set daily schedule

Assist with various projects
-
Ability to prioritize tasks accordingly and adapt to the needs of the team

Other duties as assigned
Qualifications
-
5+ year of experience in an executive support role
-
Bachelor's degree preferred
-
Excellent interpersonal skills and professional demeanor

Strong verbal and written communication and excellent editing and proofreading skills

Attention to accuracy and detail in all aspects of responsibilities

Proficient computer skills, particularly with Microsoft Office, Word, Excel and PowerPoint

Flexibility and a willingness to perform other reasonable duties as requested

Ability to work independently with minimal supervision

The ability to follow directions, sometimes from multiple sources, and determine priorities.

Ability to maintain an 8 a.m. – 5 p.m. schedule and work extended hours if needed
