Work Summary:
The HR Specialist role will support and provide a variety of specialized, complex activities for Duke University’s School of Medicine and its Human Resources Service Center (HRSC). This position will support departments within the School of Medicine’s HRSC in its immigrations services, serving as a resource, providing guidance and excellent customer service, and preparing, coordinating, and entering documentation throughout the employment process.
Work Performed
- Serve as a resource on routine and complex visa matters, provide guidance, assistance, and support to management, supervisors, and administrators. Demonstrate knowledge of internal HR information via the ability to research, comprehend, and communicate Duke Policies and regulations. Act as consultant and recommend best practices in accordance with established University policy. Maintain and build relationships with School of Medicine HR and other appropriate offices and departments in order to respond to personnel problems, issues, and special requests. Address, analyze, and triage all general customer inquiries – from employees to department administration and other Duke entities. Advise and assist in the handling of human resources issues and determine the appropriate actions and processing. Address questions with detail, accuracy, and completeness, via written, verbal, and electronic communication.
- Provide immigration policy and human resources policy guidance to managers, supervisors and administrators by analyzing appropriate visas to utilize, based on new hire’s education, experience and skills, while taking into consideration the job title and duties that they will perform. Act as immigration resource to Foreign Nationals, assisting and responding to questions regarding immigration regulations, required forms, Duke Processes, etc. Liaison between foreign national, Visa Services, sponsoring departments and other related entities. Oversee and coordinate visa process for international staff, faculty appointments, jf 27 postdocs and visiting scholars/observers. Complete web forms, obtain required documentation, review all paperwork received. Check for accuracy and compliance throughout the process behind departments and other Duke entities to ensure process meets regulatory guidelines.
- Coordinate, process, and manage new hires, including I-9 verification and submission. Obtain and verify necessary documentation, schedule orientation, and set-up employee in Payroll Systems. Serve as a point-of-contact, interfacing with new hires to provide information and answer inquiries regarding various payroll/HR policies, employment expectations, and responsibilities.
- Accurately process iForms in a timely manner and in accordance with corporate deadlines (including, but not limited to, transfers, hires, terminations, rate and schedule changes, data changes, cost distributions, and position creation).
