We have an opportunity at our corporate offices in Chicago for an HSE Editorial Assistant II on our Journal of Ethics team. This is a hybrid position reporting into our Chicago, IL office, requiring 2 days a week in the office.

As an HSE Editorial Assistant II, you will support AMA Journal of Ethics staff in contributor relations, maintaining contributor and theme issue editor information, delivering content to indexers and content databases, executing essential workflow processes in the web-based contribution management system, reviewing incoming and outgoing correspondence, triaging incoming correspondence, monitoring production deadlines.

RESPONSIBILITIES:

  • Prepare correspondence (including welcome letters, managing editor's decision letters, and thank you letters for example) and materials to be sent to contributors during production processes and as directed by AMA Journal of Ethics staff
  • Proofread manuscripts or publicity content as directed by AMA Journal of Ethics staff for grammar, punctuation, formatting, and style. Convey all changes identified by staff to AMA Journal of Ethics website coordinator and confirm that all changes have been made before each monthly issue is published.
  • Meets production deadlines, monitors compliance with production deadlines throughout contribution production processes.
  • Create tables, figures, documents from data provided by contributors based on AMA Journal of Ethics formatting and style specifications.
  • Review and convey all relevant forms for full and accurate completion, for example, by contributors prior to publication, and for Continuing Medical Education documentation.
  • Find contact information for prospective manuscript reviewers as directed by the managing editor.
  • Maintain and monitor web-based contribution management system for solicited manuscript submission, unsolicited manuscript submission, and visual submission and review correspondence processes.
  • Deliver AMA Journal of Ethics document content to relevant production, publication, and archiving partners.
  • Check PubMed monthly for AMA Journal of Ethics indexing and troubleshoot problems.

Attend meetings and seminars within the AMA and Ethics Standards Group

  • Implement other projects and tasks as assigned.
  • Provide project support to colleagues as needed.

May include other responsibilities as assigned.

REQUIREMENTS:

  • Bachelor’s degree preferred.
  • 2 plus years experience in editorial or publishing office or equivalent is desirable; familiarity with AMA Style guide preferred. Knowledge of bioethics terminology preferred.
  • Advanced knowledge of Microsoft Office, automated (XML) text editing systems, content management systems, and journal production systems.
  • Knowledge of library subsystems and web-based search engines.
  • High level of concentration, self-management, and attention to detail.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to work independently and respond to deadlines.
  • Effective project management, coordination, organizational, and prioritization skills.
  • Strong interpersonal communication skills and relationship-building skills needed.
  • Must be self-motivated and be able to take initiative with a variety of responsibilities in a team environment.
