Human Resources Assistant

The Human Resources assistant assists with the administration of the day-to-day operations of the human resources functions and duties.

  • Provides administrative support for offer/termination letters, special reports, background checks, verification of employment; mail distribution; confidential filing; scanning and indexing employee files; processes expense reports for HR Reps.
  • Supports recruitment and placement activities by posting jobs, establishing recruitment files, and preparation of new hire or recruiting packages.
  • Responsible for Lawson data entry (hires, transfers, terminations, promotions, etc); processes personnel actions and related forms.
  • Verifies I-9 documentation and maintains record keeping.
  • Responds to routine questions or inquiries, and refers non-routine items to appropriate Human Resource personnel for action.
  • Continuous follow up on open items to ensure accuracy and completion.
  • Adhere to strict deadlines to meet management and payroll time schedules.
  • Maintain strict confidentiality of pay and personnel information.
  • Assists with onboarding process of new employees.
  • Communicates effectively with all levels of management.
  • Other duties include supporting HR Management in preparing correspondence and reports, maintaining calendar and appointment schedules, coordinating meetings including scheduling, reservations, travel arrangements and presentation materials; preparing expense reports, coding invoices for payment and other clerical duties.
  • Will assist with various HR projects and miscellaneous duties as assigned.

Minimum requirements:

Education:

  • High School diploma or equivalent.

Experience/Specific knowledge:

  • Minimum of one to three years of experience actively working in an administrative function, preferably in a Human Resources environment.
  • General understanding of how corporate policies, procedures, practices and processes relate to the HR function.
  • High proficiency in Microsoft applications (Word, Excel, Outlook) for the purpose of word processing, spreadsheets and information retrieval.

Competencies, skills and abilities:

  • A positive and strong customer service attitude and desire to assist others is essential.
  • Dependability, regular, predictable attendance, and the ability to work under pressure, while meeting critical time frames are required.
  • Ability to organize and prioritize daily work.
  • Must be able to handle and maintain a high level of confidential information.
  • Must be able to handle and complete many assignments/activities concurrently.
  • Attention to detail.
  • Ability to work in a fast-paced environment.
  • Ability to perform the required and expected duties with minimal supervision.
  • Takes initiative to resolve issues when appropriate.
  • Solid analytical skills and logical thought process with the ability to identify and resolve assistant related HR issues/problems when appropriate.
  • Professional attitude and appearance.
  • Familiar with wage/hour, benefits and employment laws/regulations.
  • Strong communication skills.
  • Experience with HRIS and Applicant Tracking.
  • Familiarity with general payroll administrative procedures.

Preferred education experience:

Above the minimum requirements but advantageous in this position:

  • Human Resources experience in energy industry.
  • Experience with Applicant Tracking systems.
Position may be filled at various levels depending on experience and job skills of successful candidate.
