Human Resource Coordinator
LOCATION: This position is located in the HR Dept. of the NY, NY office of Finn Partners. This is a full-time role working a hybrid schedule, 40 hours per week.

Bring your Human Resource Coordinator passion for helping others, attention to detail, great multi-tasking skill set, and your prior 1 year of HR administrative work experience to our award-winning, global, integrated marketing agency - Finn Partners! You will work a hybrid schedule some days from our Manhattan west side office/ some days work from home, in this full-time, non-exempt (hourly) position.

You'll provide HR Dept. administrative support including record keeping, file maintenance, HRIS entry, applicant tracking, employee onboarding/offboarding and Exit Interviews, and will assist with HR projects and procedures that ensure compliance with federal, state and local laws.

Responsibilities:

Maintain employee files.
-
Ensure that all employee employment paperwork is up-to-date.

Ensure that employee annual evaluation forms are on file
-
Update the HRIS system to reflect new or revised employee evaluation dates.
-
Facilitate orientation and onboarding of new hires.
-
Work with each account team/department representative(s) to create orientation schedules for new hires. Interface with Personnel, Netsuite, and IT Departments to maintain their standing schedules of introductory meetings for new employees.

Compile orientation packets.
-
Host new hire first-work day office tours for NY Office new employees.
-
Host HR New Hire Orientation meetings for NY Office new employees.
- Arrange and/or host orientation meetings for new hire employees at other Finn Partners office locations as requested.

Collect new hire paperwork and interface with Personnel to ensure accurate HRIS record entry/upkeep.
-
Conduct off-boarding activities for terminated employees, as requested.
-
Initiate offboarding procedures.
-
Conduct Exit Interviews.
-
Monitor former employees’ files for document retention compliance.
-
Move I9 data from active employee folder to terminated employee folder
-
Manage the company’s I-9s and work authorization files.
-
Complete I-9 verifications for NYC new hires and other office location personnel, as requested.

Complete E-Verify entries.
-
Maintain accurate and compliant I-9 files.
-
Conduct periodic I-9 audits to ensure compliance.
-
Manage annual federal, state and local law postings.
-
Order posters for all USA office locations; review poster accuracy and provide posters to appropriate personnel in each location.

Manage onboarding and offboarding templates and materials.
-
Update federal and state tax forms at least annually.
-
Update benefits information at least annually.
-
Ensure information in documents is up-to-date, particularly in light of policy changes.

Assist with day-to-day HR activities, including:

Answer employees’ questions and requests.
-
Photocopy and/or scan documents.
-
Set up meetings.
-
Effectively handle confidential or sensitive information:
-
Display integrity, good judgment, and respect for confidentiality when handling HR data or working with colleagues in HR matters.
-
Demonstrate discretion and decision making in sensitive situations/tasks.
- Know when to elevate specific HR matters to the attention of the Global Head of HR.
Requirements:
-
1 year of prior Human Resource administrative level work experience. (Prior HR experience within a PR or Marketing agency setting is a plus.)

4-year degree in Human Resources, Communications, Business Management, or related field preferred

Fluency in business English language (reading, writing, speaking, listening).

Adept at multitasking; is highly organized.
-
Takes initiative to identify matters requiring HR assistance; crafts solution proposals and obtains HR Leadership approval to implement.

Effectively prioritizes work, meets deadlines and actively communicates work status progress and deliverables to supervisor.

Efficiently utilizes work hours to ensure responsibilities and deliverables are properly completed prior to or by deadlines.
- Learns quickly and adapts to a fast-paced, dynamic HR Dept. work environment.

Maintains effective verbal and written communication with all employee/leadership levels.
- Creates and sustains successful working relationships with employees of all backgrounds and personalities.

Has ability to travel throughout metro NYC for work tasks and errands required by the Global Head of HR, on an as needed basis.

Anticipated Hourly Salary: $20.67/hour - $21.63/hour; salary commensurate with experience and depending upon workplace.
