IAV is currently looking for a Sales Assistantto join our dynamic team at our North American Headquarters in Novi, Michigan.
Essential Responsibilities & Activities:
As a Sales Assistant, you will be responsible for supporting the sales team by handling administrative tasks, facilitating smooth communication with clients, and ensuring the efficient organization of sales materials and documents. You may need to help with market research, sales data analysis, and the maintenance of customer databases to support sales strategies and objectives. This role is crucial in ensuring the sales process runs smoothly and efficiently, contributing to the overall success of the sales team. This position will be part of the team that builds customer relationships, sales and marketing activities of IAV, build on a global network of experts within IAV.
- Assist in the preparation and finalization of customer quotes to ensure accurate tracking and evaluation of success rates as part of a continuous improvement process.
- Coordinate the initial assessment of customer inquiries to ensure a streamlined process.
- Create and maintain customer inquiries in the CRM system as sales opportunities, emphasizing the importance of accurate data management.
- Define and track quote deadlines to ensure timely submissions and follow-ups.
- Coordinate with Key Account Managers (KAMs) and Technical Sales Specialists on commercial and legal aspects of requests, including customer-specific information, framework agreements, and applicable documents and templates.
- Organize NDAs with new customers in close collaboration with Key Account Managers (KAMs), Technical Sales Specialists, and the Legal team, ensuring the protection of sensitive information and compliance with legal standards.
- Prepare and compile project calculations and associated documents (e.g., price sheets, CBD), coordinating with sponsors, KAMs, and Technical Sales Specialists.
- Conduct risk assessments, including consultation on identified risks (e.g., R&D, cybersecurity, property rights, taxes), and fill in the risk register as necessary.
- Gather all documents for the quote review and initiate the workflow, showcasing organizational skills. Update the quote based on feedback from the audit to ensure compliance and accuracy.
- Prepare the quote for dispatch, ensuring it meets all required standards and specifications.
- Preparation of insurance enquiries for quotes, ensuring the involvement of all stakeholders.
- Lead and document internal regular meetings and open-item lists of the Sales team, maintaining clear and effective communication.
- Support the PMO team by assisting with ongoing projects, arranging invoices, and setting up and maintaining projects in SAP, demonstrating an understanding of project management and financial processes.
- Support the project organization by keeping track of project inventory lists, including customer property, purchased resources and licenses, as well as overseeing relevant system access levels for internal and customer systems.
- Bachelor’s degree in business administration, marketing, or a related field.
- 1-2 years of experience in a sales support or administrative role, preferably within a technical or engineering environment.
- Strong organizational and coordination skills, with the ability to manage multiple tasks simultaneously.
- Proficiency in CRM systems, Microsoft Office Suite, and SAP, with a particular emphasis on Excel for data analysis and reporting.
- Excellent communication skills, both written and verbal
- Ability to work collaboratively with sales, technical teams, management, and the PMO team to support sales efforts and project management activities.
- Detail-oriented with a focus on accuracy and quality in all tasks.
- Knowledge of sales processes, project management principles, and the ability to assist in the preparation and tracking of quotes and project documentation.
- A proactive approach to problem-solving and the ability to contribute to continuous improvement initiatives.
- Experience in handling confidential agreements, with a strong understanding of legal processes and requirements in a business context.
