Information Assistant

Position Description

Pay Grade: Assistant 6

The Information Assistant provides prompt general information for all inquiries and clerical support for the Office of the Registrar.

Responsibilities and Duties (*Essential Functions)


To perform this job successfully, an individual must be able to perform the essential job functions satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the primary job functions herein described.

  • Provides prompt general information in-person, virtually, through email, and over the telephone to all inquiries relating to the Office of the Registrar and is the first point of contact for students, staff, and faculty

  • Processes transcripts received by mail, in-person, and the National Student Clearinghouse and processes official transcripts received by CCP Department every semester

  • Processes payments and troubleshoots issues within PCI system for transcript requests made in-person or by mail.

  • Assists students with curriculum registration and troubleshoots issues in Student Planner

Processes and reviews request forms from students for completeness and accuracy including enrollment verifications, permanent record changes, in-school deferments, and grade forgiveness, and distributes to appropriate individuals within the Office of Registrar if needed

Provides basic clerical support to the Office of the Registrar such as mail pickup and distribution, ordering and stocking office supplies, and notifying students of grade forgiveness and challenge exam decisions by mail or email

Processes requests received for parental access to student information in Parent Portal (FERPA)

Educates students on the Residency Determination Service (RDS) and provides solutions on residency issues

Assists Associate and Assistant Registrars with registration priority, financial adjustments, records processing, and special projects

Processes registration overrides and course section switch forms received by curriculum department heads

Maintains and updates process binder and resource materials for Office of the Registrar

Within the guidelines of FERPA, responds to all student records verification calls from outside individuals and agencies

Assists with graduation ceremony

Completes annual applied benchmark project on an individual or group basis

Qualifications


Knowledge, Skills & Abilities:

Ability to maintain records accurately and meet deadlines consistently

Ability to work nights when required

Demonstrated ability to work as part of a team

Excellent organizational skills

Knowledge of Colleague, Webadvisor, and MyWakeTech sites

Excellent customer service skills

Excellent written and verbal communication skills

Intermediate skills with MS Office products

Requirements:

High School Diploma or equivalent

Two years of experience in an office environment, customer service or student services.

Preferences:

Experience working in an educational environment or working directly with students at the college level
