DESCRIPTION

Under the direction of the Manager Instructional Services, serve as the Instructional Scheduling Coordinator for the School of Biological Sciences. Responsible for the planning, development and management of all activities related to the schedule of classes within the School of Biological Sciences. Collaborate with the Director, Student and Instructional services, Manager, Instructional Services, Associate Deans, and other faculty, to ensure scheduling for all BioSci courses is complete in a timely manner.

In consultation with department management has overall responsibility in planning, executing, drafting and finalizing the school's schedule for courses, sections, seminars, and academic instruction events, taking into consideration faculty leaves, preferences, and faculty course load, classroom availability, and enrollment figures. Responsible for all post enrollment scheduling actions including changes, messaging faculty and students, make up events, review sessions, exam overflow, grading space and related events. Independently obtains classrooms and space for courses taking into account the requirements and restrictions of the Campus Scheduling Office.

In consultation with department management, but working with a high degree of independence, applies in-depth knowledge of school requirements to determine the courses to be taught by the school toward the degrees. Takes into consideration the proper sequencing of courses for progression toward degree, courses taught in other departments, and other complicating factors. Makes recommendations for replacement courses or alternate options for finalizing the schedule. Perform other duties as assigned.

This position is eligible for a Hybrid flexible work arrangement, which could include a non-standard work schedule, and/or the ability to work off-site part of the time.

QUALIFICATIONS

  • Bachelor's degree in related area and / or equivalent experience / training.

  • Expert knowledge of university policies and procedures as they relate to education and instruction. Thorough knowledge of all aspects of Biological Sciences graduate and undergraduate programs and School policies and practices as well as the curriculum.

  • Proven ability in problem identification, reasoning, analysis to identify trends. Experience identifying situations for which no policy exists, collaborating with others, and proposing solutions.

  • Strong interpersonal skills to work with and gain trust from department senior management, faculty, and students. Ability to organize and analyze a variety of information, express ideas clearly and convincingly, and to make strategic recommendations. Ability and skill to effectively communicate orally and in written form, providing information and instructions in a clear, logical, and concise manner. Skill to articulate processes and requirements to a variety of individuals with broad educational, cultural, and language backgrounds. Experience coordinating processes or events while receiving input from different people or offices.

  • Proven ability to find solutions to conflicting situations. Ability to compile, interpret, and analyze data (including enrollment history, trends, projections and staffing) utilizing multiple resources and references, with the ability to present data effectively and develop clear and concise reports and recommendations. Demonstrated effective problem-solving skills and ability to determine actions to be undertaken to effect resolutions.

  • Thorough knowledge of common University-specific computer application programs. Skills, knowledge and ability with operating systems and a variety of software (proprietary and commercial) and web-based programs, willingness to update and increase skills as needed to meet the goals of the school.

  • Demonstrated ability to understand abstract concepts and computer data. Experience in use of various applications and databases. Skill to organize records and accurately extract data from a variety of sources including computerized databases to provide statistical reports/logs.

  • Ability and intuition to conceptualize administrative processes and procedures for potential administration using technological systems.

  • Strong attention to detail, particularly to numerical information such as enrollment numbers and classroom capacity.

  • Excellent record keeping skills, including the ability to design and maintain extensive database information. Skills in developing, implementing and maintaining efficient record keeping and filing systems for retrieval by self and others.

  • Thorough knowledge of department, organization, and University policies, procedures, and directives. Experience in evaluating complex concepts or knowledge of past discrepancies, trends, and relationships, and apply the concepts appropriately. High level of familiarity with regulations pertaining to support services available for students. Knowledge of campus departments and their activities, and services, especially as related to the scheduling process.

  • Multicultural competencies; ability to work with diverse populations. Experience working with diverse populations including students, faculty, staff, campus administrators and the public. Skill to listen and advise diverse personalities using independent and mature judgment.

SPECIAL CONDITIONS

  • Job offer is contingent upon satisfactory clearance based on Background Check results.

Pay Transparency Act

Annual Full Pay Range: $43,900 - $91,900 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $21.02 - $44.01

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
