Job Summary
Working under direct supervision of branch/team leadership and following established industry and company guidelines; assists account team in completing day-to-day administrative tasks; recurring, narrowly defined customer service tasks; and meeting all performance requirements regarding production, quality and ensuring that no liability associated with errors or omissions occur. Specific responsibilities include entering data related to client and/or policies; word processing; reviewing policy forms for accuracy; handling transmittals to the client/insured; and providing general office support.
What You’ll Do:
- Live and champion IOA core values at all times, demonstrating the highest level of personal character, integrity, and servant leadership
- Assist in any general office support/administration when requested or assigned.
- Assist with the following tasks accurately and within required timeframes:
- Process Policy Endorsements and carrier Audits; identify errors and facilitate corrective actions Processing Policy Cancellations, Reinstatements and Lost Policy Releases (LPR)
- Prepare Check requests, Invoices and Premium Finance Agreements
- Prepare Summaries of Insurance
- Prepares and processes the following tasks accurately and within required timeframes:
- Ordering Loss Runs and MVR’s
- Issue Auto ID Cards
- Issue Certificates of Insurance and Evidences of Property
- Issue Binders of Insurance
- Data entry and maintains agency management system, other agency supported systems and carrier/vendor online platforms, ensuring all data entered is complete, clearly presented and well-documented, accurate, and up-to-date
- Monitor and maintain activity/suspense, taking appropriate action to ensure completion within required time frame
- Maintain frequent, transparent communication with account team regarding individual and team client service and policy administration activities, ensuring that the account team is fully informed of workload status, questions and/or any errors, discrepancies or changes related to assigned duties and tasks
- Deliver excellent service at all times, including proactively anticipating needs, maintaining frequent and professional communication, and responding quickly to service requests
- Monitor Individual performance to ensure productivity, efficiency, quality, and service standards are met, taking corrective actions when required.
- Actively promote IOA culture and a positive work environment at all times, including participation in team building and other activities.
- Maintain frequent and transparent communication regarding individual performance and activities with supervisor.
- Continually seek to improve individual and team performance, including identifying, communicating and adopting best practices.
- Comply with all company work rules, standards, and policies and procedures at all times.
- Grow and maintain technical competence and industry/market knowledge.
- Ensure professional skills are continuously improved by actively participating in internal/external development opportunities.
- Develop and maintain positive, productive relationships with IOA leadership, peers, co-workers, teammates and employees.
- Perform other duties as assigned.
What We’re Looking For:
Insurance Industry experience preferred; or 2+ years of related experience in customer service
Excellent administrative, multi-tasking, and organizations skills
Excellent customer service skills
Outstanding verbal/written communication skills
PC proficiency, including basic knowledge of MS Office products, including Outlook, Word and Excel
Exceptional personal character
High School Diploma (or equivalent)
