Job Summary
Working under the direction of an Account Manager (AM) and/or Account Executive (AE) and following established industry and company guidelines; provides administrative and customer service support to account team and Producer; and meeting all performance requirements regarding production, quality and ensuring that no liability associated with errors or omissions occur. Resolves basic and routine administrative and customer service problems directly, and refers complex requests or inquiries to more senior staff.
What You’ll Do:
- Assist in directing day-to-day activities and work flow assigned to Team Support/Receptionist and Account Assistant
- Process the following tasks accurately and within required timeframes:
- Process Policy Endorsements and carrier Audits; identify errors and facilitate corrective actions
- Process Policy Cancellations, Reinstatements and Lost Policy Releases (LPR)
- Prepare Check requests, Invoices and Premium Finance Agreements
- Prepare Summaries of Insurance
- Order Loss Runs and MVR’s
- Issue Auto ID Cards
- Issue Certificates of Insurance and Evidences of Property
- Issue Binders of Insurance
- Prepare Check Requests, Invoicing and Premium Finance Agreements
- Assist with the following tasks accurately and within required timeframes:
- Identify and reconcile any inaccuracies in Account billings
- Preliminary review of policy forms, identifying discrepancies and making any necessary changes as directed by AM, AE or Producer
- Prepare complete and accurate submissions including Acord applications and/or supplemental forms
- Online Rating
- Prepare Proposals
- Prepare Agent of Record letters (AOR)
- Provide support in the New Business or Renewal Business Workflow
- Data entry and maintain agency management system, other agency supported systems and carrier/vendor online platforms, ensuring all data entered is complete, clearly presented and well-documented, accurate, and up to date.
- Monitor and maintain activity/suspense, taking required action to ensure completion within required time frame.
- Maintain frequent, transparent communication with account team regarding individual and team client service and policy administration activities, ensuring that the account team is fully informed of workload status, questions and/or any errors, discrepancies or changes related to assigned duties and tasks.
- Always deliver excellent service, including proactively anticipating needs, maintaining frequent and professional communication, and responding quickly to service requests.
- Continually stay abreast of all company policies and procedures to ensure good knowledge, execution and compliance of standard operating procedures.
- Continually seek to improve individual and team performance, including identifying, communicating and adopting best practices.

- Regular and consistent attendance is expected and a necessary component to the job
- Perform other duties as assigned
What We’re Looking For:
2+ years of industry experience; or 5+ of related experience in customer service
Has good understanding of what an insurance brokerage is and does
All required active licensing
Excellent administrative, multi-tasking, and organizational skills
Excellent customer service skills
Outstanding verbal/written communication skills
PC proficiency, including basic knowledge of MS Office products, including Outlook, Word and Excel
Exceptional personal character
High School Diploma (or equivalent)
