We are seeking a dedicated and detail-oriented Office Assistant to join our team in Medina, Ohio.The ideal candidate will possess strong administrative skills, experience with QuickBooks, and the ability to handle billing, sales orders, order entry, and purchase orders efficiently. This role is crucial to ensuring smooth office operations and supporting various departments with their administrative needs.Key Responsibilities:Administrative Support:• Provide comprehensive administrative support to the office.• Manage office communications, including phone calls, emails, and correspondence.• Maintain organized filing systems, both electronic and physical.• Assist in the preparation of reports, presentations, and other documentation as needed.QuickBooks Management:• Utilize QuickBooks for various accounting and financial tasks.• Perform data entry and maintain accurate financial records.• Process invoices, payments, and other financial transactions.Billing:• Prepare and send out bills and invoices to customers.• Track payments and follow up on overdue accounts.• Reconcile billing accounts to ensure accuracy.Sales Orders and Order Entry:• Process sales orders from customers.• Enter orders accurately into the system.• Coordinate with the sales team to ensure order accuracy and timely fulfillment.Purchase Orders:• Create and manage purchase orders.• Communicate with suppliers to confirm order details and delivery schedules.• Ensure all purchase orders are accurately entered into the system and tracked.Qualifications:• Proven experience as an office assistant or in a similar administrative role.• Proficiency in QuickBooks and experience with billing and financial tasks.• Strong organizational skills and attention to detail.• Excellent communication and interpersonal skills.• Ability to multitask and prioritize tasks effectively.• Familiarity with sales order processing and purchase order management.• Proficient in Microsoft Office Suite (Word, Excel, Outlook).Education:• High school diploma or equivalent; additional qualifications in office administration or accounting are a plus.Work Environment:• Office-based position in Medina, Indiana.• Full-time hours with the potential for overtime during peak periods.
