IT Asset Management Coordinator II

The Information Technology (IT) Asset Management Coordinator II is responsible for providing support with managing company IT assets throughout their lifecycle while adhering to published processes, policies, and standards. Assigned to monitor, maintain, and report on the overall health of the IT Asset Management program and procedures. Ensures accuracy of the IT asset repository through continued reconciliation and process improvements. Also serves as an escalation point for issues that cannot be resolved by the IT Asset Management Coordinator team.

Responsibilities:

  • Oversee IT hardware asset reconciliation processes and data updates to ensure accuracy of the company’s asset repository. Assist team with coordination of office site visits and gathering of office information and contacts. Travel to company locations to assist with physical reconciliations as needed. Schedules and sends out messages for remote in-home hardware reconciliation. Reporting to management on reconciliation completion status and provides recommendations on resource allocation to ensure timely completion.
  • Prepare and update hardware, software, and subscription budget reporting. Monitor spending to keep within budget. Provide management with spend details and recommendations on forecast adjustments.
  • Asset repository maintenance. Conduct bulk imports of IT assets into the asset repository. Review, create and maintain asset model information and blueprints. Spot check entered data to validate fields are being properly entered. Aid with reporting to teams requesting IT asset data.
  • Monitoring and supporting the termination processes. Serve as an escalation point for issues with collection of IT hardware assets. Documents issue resolution and provides reporting on returned hardware statistics to management.
  • Support of maintenance and subscription ordering of assets with term dates. Review and assist with orders for subscription services such as Adobe, Microsoft, and mobility data requests. Assist with ordering maintenance and warranty for hardware assets. Adding contracts to asset repository and ensuring assets are correctly linked. Monitoring and validating usage of assets and providing management with report analysis of pricing and license compliance.
  • IT Software Asset Management – Conducting desktop software license reconciliation for owned software licenses. Tracking and maintenance of license information in our asset repository. Providing compliance analysis and remediation recommendations to management.
  • Monitor and maintain inventory levels for IT assets. Assist with cycle counts of consumables and hardware assets to ensure orders are submitted timely to avoid running out of stock. Maintain hardware useful life information. Monitor and update hardware details and estimates for when to decommission assets. Research device replacements. Provide management with recommendations on new products.
  • Finalizing disposal processes. Review and validation of vendor certificates of destruction to confirm all hardware is accounted for. Working with vendors to research and resolve exceptions.
  • Maintain and monitor company printer fleet. Assist with processing printer orders and moves. Point of escalation for repairs and printer supply issues.
  • Provides escalation, guidance, and support for IT Asset Management Coordinator I. This includes, but not limited to, ticket processing, general procedural issues, stockroom organization, area cleanup.

Requirements:

  • High School diploma or equivalent (GED) required
  • Associate degree (AS, AA) or two-year technical certificate preferred
  • Minimum two (2) years of experience with IT Asset Management processes preferred
  • Minimum two (2) year of experience with task management processes preferred
  • Minimum two (2) year of experience in procurement (purchasing) preferred
  • Minimum one (1) year of experience with financial budget analysis and reporting preferred
  • Must have basic working knowledge of Microsoft Office software (Word, Outlook, and Excel)
  • PC skills

  • Must be able to lift/carry 50 lbs. waist height, 25 lbs. shoulder height and 10 lbs. above the head.
