About itrek
itrek launched in 2011 with a mission to empower leaders to engage their networks in meaningful Israel experiences, fostering an understanding and appreciation of Israel’s unique culture, diversity, richness and complex reality. More than 25,000 graduate students representing 130 nationalities from schools in the U.S., Canada and Europe have traveled to Israel through itrek. Over the last two years, itrek has expanded beyond graduate school students by piloting Launchpad, a program that connects with mission aligned leaders and organizations to create Israel Treks for their influential peers and members. In July 2024, Schusterman Family Philanthropies REALITY journeys was brought under itrek. REALITY will continue to bring leaders from diverse backgrounds and sectors on formative learning journeys to Israel.
The REALITY Program Operations Associate will have a dual responsibility of providing all operational and program support for recruitment and alumni engagement of the REALITY program. The Program Operations Associate will be responsible for the full lifecycle of recruitment to onboarding (creating and tracking all dashboards, reports and data entry, researching and supporting the recruitment efforts), and alumni engagement (execution of logistics and data tracking for alumni engagement programs and program evaluation). This role requires the ability to be flexible, adapt quickly to changes and work in a fast-paced environment.
Reporting to the Associate Director of REALITY, the ideal candidate has a background in data management, operations, project management, relationship management, program management, is detail-oriented, responsive, and excels in implementing and monitoring processes. The ideal candidate has a growth and learning mindset, a strong connection to Israel and understands the importance of a meaningful trip and community connected to Israel. A background in operations, data management and tracking, and program support would be greatly beneficial.
Primary Responsibilities
- Recruitment Operations: Partners with the REALITY team and alumni to identify, recruit and confirm Israel journey participants who buy into the REALITY program and mission to create and cultivate meaningful Israel journey experience.
- Manage the relationships with REALITY alumni recruiters through constant communication and regular meetings.
- Creation of recruitment dashboards and reports to track recruitment efforts of alumni.
- Ongoing communication with recruitment partners and alumni.
- Planning, Execution & Stewardship: Support alumni engagement programs including assisting with program design, registration,logistics and guidance, and on-the-ground support.
- Serves as the central point of contact to the REALITY community including best practices, policies, reimbursements, and other administrative tasks.
- Support alumni program implementation including confirming speakers, creating all forms and materials related to registration, tracking attendance, creation and distribution of program materials.
- Handle scheduling, materials, and communication with the Advisory Board, REALITY’s alumni leadership committee.
- Data management on all alumni activities.
- Assist with planning and handling all logistics and reimbursements for facilitator training.
- May travel to Israel to support Israel journeys to ensure the quality of their execution.
- Partner with the marketing team to produce REALITY materials.
- Recruitment and Alumni Engagement Follow-up & Program Evaluation: Ownership of the follow-up for each alumni engagement program including surveys and partner feedback to assess the program’s impact and integrate key findings into future planning.
- Additional Responsibilities: Perform related Israel Trek and departmental tasks according to the organization’s needs.
Skills and Qualifications
- 1-3 years of project management and operations experience
- Bachelor’s degree required
- Passion for itrek's mission, strong connection to and knowledge of Israel
- Highly skilled in managing relationships, program management and a solution oriented mindset
- Strong attention to detail, organized, time management and execution skills, including the ability to manage multiple tasks at the same time
- Possess a learning mindset and skilled in testing and tracking ideas, synthesizing learning and developing recommendations
- Self-motivated, undeterred by obstacles or challenges, with a positive “can do” attitude
- Excellent written and verbal communications skills in English required
- Must be able to work effectively independently and with a team in a hybrid environment
- Ability to adapt quickly to changing needs and concerns
- Willing and able to travel within the US, Israel and abroad
- Proven proficiency with Salesforce, and comfortable with technology to learn and utilize project management software tools

Salary range $50,000 -$55,000; commensurate with experience
