JOB SUMMARY

Join Jabil as an Administrative Assistant and be a key support in providing efficient administrative and clerical assistance to functional managers and staff. Responsibilities include coordinating calendars, meetings, and presentations, supporting the manager's staff, arranging and recording meetings, managing travel schedules, participating in special projects/events, and offering backup support for the receptionist. This role also involves generating reports, maintaining supplies, planning customer visits, and ensuring compliance with safety, health, and security policies.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Administrative Support: Provide clerical and administrative support to the manager's staff.

  • Meeting Organization: Coordinate and arrange meetings, including reserving facilities, recording minutes, and transcribing information.

  • Special Projects/Events: Actively participate in special projects and events.

  • Reporting: Generate reports and graphs as needed.

  • Supply Management: Order and maintain office supplies.

  • Customer Visits: Plan and prepare for customer visits.

  • Receptionist Backup: Provide backup support for the receptionist (if applicable).

  • Safety and Health Compliance: Adhere to all safety and health rules and regulations.

  • Security Compliance: Follow all procedures within the company's security policy.

JOB QUALIFICATIONS

KNOWLEDGE REQUIREMENTS

  • Effective Communication: Present information effectively to various stakeholders.

  • Problem-Solving: Define problems, collect data, and draw valid conclusions.

  • Computer Skills: Proficient in operating a personal computer with a Windows-based operating system and knowledge of Jabil’s software packages.

  • Reading & Writing Skills: Write simple correspondence and comprehend visual aids. Understand simple instructions, short correspondence, and memos.

  • Common Sense: Apply common sense to carry out instructions and handle standardized situations.

  • Mathematical Skills: Perform basic mathematical operations and interpret graphs.

  • Flexibility: Adapt to occasional variables in standardized situations.

  • Workday and Coupa Experience is a plus! Invoice payments and billing knowledge.
