Maximize value of facilities operations through focus on life cycle extension, quality assurance, cost control & savings, while delivering a high level of service from all vendor and management partners.Job Overview / Summary DescriptionReporting to the Assistant Events Manager, the Events Coordinator works closely with internal vendors and key stakeholders to facilitate and support local Amazon events taking place in key buildings within Amazon corporate offices.Amazon is a fast paced, demanding corporate environment and JLL is here to provide professional, service excellence. The Events Coordinator reports to the regional Assistant Events Manager and responds to customer requests and inquiries to ensure on-site events are executed smoothly and professionally.Responsible for the coordination of resources to ensure spaces are cleaned, set and ready for events. Committed to event related projects such as documenting trends, recognizing opportunities for process efficiencies, and improving policies and procedures related to internal events and spaces.Primary Duties / Essential Job Functions• Processing event requests and corresponding with Amazon customers• Coordinating and leading planning and walkthrough meetings with customers and vendor partners• Disseminating information to large audiences, including alerting building occupants and vendors of event-related impacts• On site coverage and troubleshooting during high impact events to ensure successful event operations• Organizing and compiling event data metrics• Creating and maintaining standardized event documents• Responding to and acting on customer feedback• Creates and updates documents to track metrics, clarify procedures, provide information, organize team tasks, and others as needs arise• Supports and maintains good inter-vendor communications between Facilities, Catering, AV, Reception, Janitorial and Engineering as requested• Assisting in the planning and hosting of the occasional GREF-related event as needed• Other duties as assigned in support of Events Program ManagerExperience / SkillsEssential Knowledge and Skills:• Ability and attentiveness to multi-task• Interact with employees, visitors and contractors with poise and diplomacy• Apply principles of rational systems and deal with a variety of concrete variables in situations where only limited standardization exists• Interpret instructions in written, oral, diagrammatic or schedule form• Possess initiative to assume additional responsibilities• Set priorities and meet deadlines• Advanced competence with a variety of software including MS Word, MS Excel, MS Outlook, and other requested software programs• Perform basic business math such as compute discount, interest, percentage and profit/loss• Communicate effectively both verbally and written• Possess excellent grammar and proofreading abilities• The ideal candidate will have excitement for helping to build and maintain event supportExperience• 3+ years’ experience in event coordination or event administrative support• 3+ years’ experience in facilities management a plus• Must be proficient with Microsoft Office• Microsoft Visio or CAD experience preferred• High level of accuracy and attention to details• Positive, professional, customer-service oriented personality• Excellent interpersonal and communication skills• Ability to work independently, at times, with little directionEducation• Bachelor’s Degree or equivalent 4 years of experience preferred
